Job Description

The Intake Immigration Specialist will serve as the central point of contact for clients and the IRC Immigration Team, and provide administrative support to the team. This position involves working directly with clients in a fast-paced environment while maintaining professional standards for capturing accurate information, coordinating client appointments, and facilitating high quality communication. The Immigration Intake Specialist will also recruit clients and advertise the IRC immigration program. This position reports to the Immigration Supervisor, but works closely with each of the immigration caseworkers and receptionists.

Major Responsibilities:

  • Conduct eligibility screenings for walk-in clients including asylees, refugees, immigrants and anyone seeking immigration legal services.

  • Maintain up-to-date knowledge and eligibility criteria for immigration legal services. Provide appointments and follow up on cases for immigration clients.
  • Maintain a detailed, accurate and comprehensive database of walk-in clients and returning clients.
  • Answer phone calls, following team protocols to: resolve client questions oneself as much as possible; relay questions not appropriately answered to team members; and log communication with clients in case-noting software so that all team members can see what has been communicated with clients.
  • Track team performance compared to team performance targets, including target time frames for client scheduled for application completion from first intake; application submission from application completion; max client wait times for lobby, for return communication from IRC; and others identified by the Immigration Supervisor.
  • Promote IRC Immigration services through: completing training on effective outreach design; coordinating radio and FB advertising within budget provided by Immigration Supervisor.
  • Log all mail (USICS correspondence) for the immigration program into case-noting software.
  • Schedule client appointments and send reminder text messages and/or phone calls.
  • Support immigration team protocols on orderly sharing and organization of client documentation.
  • Conduct monthly file review.
  • Build physical files and labels.
  • Other tasks and projects as assigned by the Immigration Supervisor.

Qualifications

  • Bilingual English and a major client language, such as Swahili, Kinyarwanda or Spanish highly preferred. Fluency in spoken and written English.

  • Knowledge of and / or interest to learn about immigration benefits
  • Experience working in a multicultural environment and with individuals who are Limited English Proficient (LEP). Experience working and communicating effectively in a multi-cultural environment is a must.
  • Self-starter with strong problem solving skills combined with the solid ability to multi-task, prioritize duties and coordinate time effectively in a fast-paced environment. Exceptional attention to detail required.
  • Interest and ability to contribute both independently and as a key team member.
  • Proficient in Microsoft Office (i.e. Word, Excel, and Outlook) and web-based applications (i.e. Google forms, Box, ETO, databases).

Work Environment:

  • Standard office setting at IRC’s office in Boise; regular evening or weekend activities as needed.

  • Access to reliable transportation to travel and work off-site at programs (i.e. schools, apartment complexes, etc.).
  • Current, valid Idaho driver’s license.
  • Willingness to periodically drive IRC 15-passenger van, and sustain certifications necessary to do so.
