Job Description

The IRC Global Safety & Security Team works to reduce risk across IRC programs and operations and to increase the feeling of safety and security among IRC staff. The Global S&S Team covers not only the 40 countries of the IRC’s international work, but also the work of the IRC in 22 U.S. cities and across Europe.

The Safety & Security (S&S) Program Manager will be a pivotal role to support the operations of the Global S&S Team’s work across six regions. The role will draw from an array of skill areas including administration, coordination, organization, communication, analysis, writing, and logistics.

The S&S Program Manager reports to the Chief Safety and Security Officer (CSSO).  S/he will closely liaise and support the activities of the Director for International Safety and Security (DISS).  

The major breakdown of responsibilities for the S&S Program Manager is:

  • Information Management including the compilation, editing and distribution of S&S reports, Global Daily Situation Report and other reporting mechanisms: 30%

  • Communications editing, data and analysis for S&S section of the IRC’s intranet system: RescueNet: 20%

  • Administrative Support and General Coordination for the Global S&S team affairs and movements: 20%

  • Finance and Budgeting for S&S functions and expenses: 20%

  • Project Management support to S&S projects, training courses and strategic planning: 10%

MAJOR RESPONSIBILITIES:

Information Management (30%)

  • Administrate, compile, and distribute the Global Daily Situation Report and Annual Customer Satisfaction Survey, Safety & Security Report, and other official internal communications from the Global S&S team;

  • Gather and compile Global S&S data as well as any other official data from or to the Global S&S management team as needed; prepare data analysis as required

  • Improve and manage IRC S&S shared folders including the S&S Library, global and regional files and projects folders

  • Upon request from the CSSO or the DISS, monitor specific geopolitical dynamics and provide insight in coordination with the relevant internal partners (Regional Safety and Security Advisors (RSSAs), global and regional analysts, etc.)

    Communications (20%)

  • Develop and run the IRC Safety and Security pages and communications, including blogs and other writing, on the IRC Intranet, called RescueNet

  • Ensure S&S data and analysis is properly included in S&S communications consistently across IRC communications platforms and implement regular information updates

  • Support preparation of other internal or external communications upon request from CSSO or DISS

    Administrative Support & General Coordination (20%)

  • Handle logistics and support delivery of Global S&S Trainings or other global events

  • Support the onboarding process for any new Global S&S teams members focusing on introduction to IRC online business systems such as Teams, Box, FCM Travel, and Microsoft Outlook

  • Support logistics, scheduling and/or travel for CSOS (DISS and other Global S&S Team members as needed under request of CSSO)

  • Participate in the Global S&S Team weekly meetings, coordination mechanisms and activities

    Finance & Budgets (20%)

  • Track S&S related expenses against approved budgets and work with CSOS to build spending plans to forecast spending

  • Create or review monthly budget versus actual analysis of spending, depending on funding source

  • Raise and complete purchase requisitions and orders and settle charges and invoices, most likely utilizing the IRC’s new internal Enterprise Resources Planning system, Integra

  • Liaise with Global Supply Chain and/or Human Resources in the process of drafting any new contracts or Scopes of Work and coordinate contract execution

Project Management (10%)

  • Collate revisions from S&S experts to update the S&S Department strategy, the Strategic Action Plan

  • Collate input from key individuals and country program counterparts in the review of S&S strategic plans, actions, progress and perspectives with the identified partners (designated RSSAs, consultants, etc.)

  • Handle the translation of required S&S documents with IRC translation companies and other individuals

    Other duties as assigned


Qualifications

  • Bachelor’s degree in related field required, e.g. international relations; administration, project management;

  • Must have minimum of two years relevant previous work experience;

  • Must be very proficient in written and spoken English, working level in written or spoken French, Arabic or Spanish preferred;

  • Must have demonstrated organizational skills;

  • Must be capable of working independently and under own initiative;

  • Must be confident and computer literate in Microsoft Office suite and with demonstrated capacity to collaborate with colleagues at all levels including remote colleagues;

  • Minimum two years commitment in S&S Operations Manager role preferred.

WORKING ENVIRONMENT:

The position will be based in an IRC office with the opportunity to travel internationally one or two times per year.
