1. Background

DRC has been operating in Greece since November 2015, providing support to the Greek Ministry of Migration Policy in ensuring dignified reception conditions for refugees and migrants arriving on Lesvos island. In March 2016, DRC expanded its operations in Athens, in response to the changing context and the build-up of refugee population on mainland Greece. 

2. Purpose

DRC Greece is looking to recruit a qualified, flexible and enthusiastic professional to work for its sites in Greece as an Information Management Assistant. Under the management of the SMS Manager, the Information Management Assistant will support the implementation of DRC field activities in their assigned sites in Greece and contribute to ensuring an integrated approach to information management following procedures set by the IM Coordinator. This position will have a strong focus on implementing standardization and harmonization practices that have been rolled out nationally for the sites assigned to. 
 

3. Duties & Responsibilities

Responsibilities will include, but not necessarily limited, to the following:

  • Supporting both regular and ad-hoc data collection and verification exercises across sites, in cooperation with the relevant Team Leaders and IM Coordinator.
  • Continuous updating and maintenance of the site level databases/population census, allowing for accurate beneficiary household and individual level disaggregated data as well as all official and non-official shelters on site.
  • Reporting on site level data and demographics as required, supporting the team in the monthly SMS reporting tool.
  • Will act as the focal point for sharing data as needed and in line with established DRC protocols and the relevant Data Protection legal framework.
  • Focal point for data sharing internal to DRC and with other organisations at site level as well as with local authorities in line with established protocols.
  • Production and regular updating of service mapping documents, contact lists, 4Ws, welcome packets, and beneficiary ID Cards in line with relevant guidelines and templates provided by the country office.
  • Management of reporting tools internal and external to DRC in line with IM tasks assigned by the IM Coordinator.
  • Supporting the IM Coordinator with maintenance, organization, and securing of all IM related files and tools in the proper online storage locations.
  • Supporting communication with beneficiary communities in cooperation with the CWC Specialist.  Tasks include, but not limited to ensuring all IM related data, documents, and online tools are provided to staff and beneficiaries at the site Help Desk.
  • Contribute to reporting data for various regular reporting purposes.
  • In coordination with the relevant SMS Team Leaders, support site mapping for accommodation allocation.
  • Contribute to other information products as required, in line with the overarching SMS strategy set by the Country Office.
  • Upon request, perform any other additional duties or tasks assigned by the line manager to allow for DRC’s operations in the assigned sites to function optimally and support the SMS activities.

4. Required Qualifications

  • University degree in a relevant field
  • At least one year working experience in a related field (i.e. information management, data management, data science); previous working experience with local or international NGOs will be considered as a strong advantage
  • Strong verbal and written English
  • Experience of community-based or community mobilization work in a humanitarian context is a strong advantage

  • Working knowledge of Microsoft Excel, Microsoft Power BI, and Kobo Toolbox is a must.
  • Working knowledge of Microsoft SharePoint lists, Microsoft Access, Microsoft Power Apps, Microsoft Flow, Microsoft Forms, Google Forms, Google Sheets, SQL, VBA, and/or Python will be considered as a strong advantage.

  • Strong initiative and self-motivated, with a strong commitment to humanitarian principle and high sense of ethics
  • Excellent communication skills, as well as patience and politeness, are needed

6. Terms & Conditions

  • The contract will be under the Greek Labour Law (this is a national position)
  • All allowances will be provided to the employees (Christmas, Easter, Vacation bonus)

  • The position will be based in Attica and national terms and conditions apply.
