Job Description

SCOPE OF WORK:

The Administrative Assistant is responsible for both receptionist services and administrative duties for the Baltimore Resettlement Center (BRC). The Administrative Assistant reports to the Administrative Manager and works closely with other staff members in the BRC.

ESSENTIAL JOB FUNCTIONS:

· Serve as initial point of contact for anyone entering or calling the IRC, responsible for managing reception materials, answering      client questions and directing requests to appropriate staff members.
· Provide professional level customer service to everyone who visits the IRC.
· Maintain reception area and lobby in a neat and professional manner.
· Regularly post relevant information on the staff bulletin board.
· Complete parking validations.
· Receive and distribute incoming mail and fax.
· Assist with preparation for agency meetings, presentations and events.
· Manage relationships with office and equipment maintenance providers.
· Manage bill payment and receipt from IRC vendors.
· Maintain office supplies and process office supply requests.
· Supervise building maintenance in collaboration with the Administrative Manager.
· Serve as alternate point of contact for all staff and vendors in the absence of Administrative Manager.
· Other tasks and duties as assigned by Supervisor.


Qualifications

· High school diploma required. Associates Degree preferred.
· Minimum of 2 years previous reception and/or clerical experience.
· Excellent administrative and organizational skills with the ability to work independently and as part of a team in a cross-cultural      environment.
· Well organized with high attention to detail.
· Self-directed, takes initiative and follows up to ensure work is accurate and deadlines are met.
· Excellent computer skills preferred in MS Office suite: MS Word, Excel and Outlook, as well as data entry skills
· Fluency in English, bilingual ability preferred.
· Ability to effectively communicate through telephone, email and other correspondence.

Work Environment:

· Standard office environment, considerable time at computer terminal.
