Job Description

Job Overview/Summary: The Administrative Assistant provides support to the office and various departments in the areas of financial reconciliation, inventory, and other administrative functions. Responsibilities Responsibilities may include, but are not limited to: • Manage the front desk, including covering front desk shifts, training and assigning front desk shifts to interns & volunteers • Take payments per the IRC cash intake protocol, and make weekly deposits to the IRC’s bank account • Process incoming Lonestar (LSO) mailings by entering check numbers in the LSO log and sorting checks as appropriate • Request admin vendor checks and ensure timely payment • Act as point person for local vendors, including the building management • Manage the IRC’s office and donation inventory; order supplies as appropriate • Verify the office’s interpreter time logs; distribute & return Time & Effort reports for all staff • Follow up on outstanding checks • Reconcile monthly Refugee Cash Assistance payments between local office and Dallas finance • Act as local IT point person by coordinating new hire IT set up, IT changes, and assisting staff with connecting to IT • Liaise with the national Safety Director in ensuring office safety plans are up to date and implemented • Prepare New Hire Paperwork for interpreters • Other duties as requested

Qualifications

Requirements • Undergraduate degree preferred • Demonstrated administrative experience in an office environment • Basic finance experience preferred • Excellent communication skills, with fluency in written and spoken English. Bilingual ability in one of the predominant languages of the local client base is desired. • Proven success achieving goals and working effectively with all levels of staff in a multicultural environment • Proficient in Microsoft Office applications (Word, Excel, Outlook) • Valid driver’s license, reliable vehicle with current insurance, and the ability to travel regularly throughout the service delivery area.
