Job Overview:
The Finance and Administration (F&A) Specialist provides a range of administrative, and operational duties in a support position to the finance team. This position is also responsible for assisting with documentation and reporting and assisting with data tracking. The position reports formally to Senior Finance & HR Coordinator.
Major Responsibilities:
- Maintain account files, including monthly finance report folder, lease agreements for all equipment, property, etc. Maintain record of all cash receipts and checks and prepare deposit as per the finance policy
- Review and process all check requests and BOA of prepaid cards in a timely manner; ensure proper account coding and obtain appropriate approvals and signatures as necessary; distribute checks and file payment vouchers.
- Prepare A/P vouchers for payment to vendors. Void checks if necessary.
- Prepare time and effort reports for staff and obtain and file signed monthly T&E sheets in finance folder
- Assist on hiring activities including, submitting new hire paperwork and staff orientation.
- Manage paperwork for incoming and exiting employees.
- Assist with IRC Seattle Banking Arrangements.
- Coordinate the protection of the organization’s assets by implementing IRC’s internal control procedures
- Oversee NOVAtime reporting and act as Primary NOVAtime administrator for the office
- Assist maintaining grants and contract files for all programs.
- Other duties as assigned.
Qualifications
Job Requirements:
- Undergraduate degree in Accounting or Finance with at least 2 years of nonprofit accounting experience.
- Successful background in Finance and administrative with proven ability to work as a team member in a cross-cultural environment. Reporting experience preferred.
- Strong attention to detail
- Excellent computer skills to include all Microsoft Office Programs, database experience and various other financial related software programs.
- Experience working on financial and administrative issues.
- Ability to prioritize and manage time effectively.
- Excellent verbal and written communication skills in English.
Working Environment:
- Standard office environment at IRC’s office in Seattle; Monday-Friday, 9am-5pm, with occasional evening or weekend activities as needed.
- Limited flexible workplace available with approval.
- Access to a reliable vehicle to travel regularly throughout the service delivery area for partner meetings and events.
