Background information - Implementation Practices and Standards (IPS)
Within UNOPS, Implementation Practices and Standards (IPS) is responsible for the UNOPS delivery practices. IPS provides thought leadership, standards and oversight as support to the successful delivery of programmes and projects within UNOPS service lines (infrastructure, procurement, project management, human resources and financial management services). IPS is comprised of the Infrastructure and Project Management Group and the Procurement Group which aims to reduce organizational risks, improve project performance, and promote excellence across UNOPS projects through the Standards Management Framework; and provides organisational oversight on the application of standards. These Groups also support the positioning of UNOPS in the UN system and development sector in Infrastructure, Project Management and Procurement.

In 2018, UNOPS initiated a digital shift from Microsoft based products to Google Suite. Starting in January 2020, the entire organization has operated a progressive shift to G-suite. The main G-suite features used by UNOPS are Gmail, Calendar, Google Drive/Docs/Sheets/Slides, Forms, Google+/Currents, Chat, Meet and Data Studio.
The Portfolio Support team is looking for a Business Analyst (retainer) specializing in G-Suite products to provide ad-hoc technical support to facilitate the transition and adaptation from Microsoft to Google Suite. In particular, s/he will provide technical solutions to re-think how we work and help design management products in the Google environment. This would involve advanced expertise in Google Sheets, Forms, Docs, Data Studio and writing scripts for G-suite apps.
This is a home-based assignment, which may involve travel to various UNOPS offices, including UNOPS Headquarters (Copenhagen, Denmark). The functions/duties/key results of this job description are generic and may not always be applicable, nor comprehensive, for all missions under this job title.
Terms of reference will be available for each mission or assignment and the retainer can be hired, inter alia, through the UNOPS retainer management tool developed and currently managed by Portfolio Support (PS).
The functional responsibilities include inter alia:
Adapt existing MS Office / Adobe documents and templates to the G-Suite environment, in line with the technical requirements
Provide advice on an improved document management strategy in G-suite environment
Develop/improve standardized document control procedures to cover document management, controlled release and sharing of the documents, version control and document history
Analyze the existing tools, templates and materials hosting on various platforms, provide recommendations for improvement and support optimization
Provide technical support to the team with creation of new reporting tools, dashboards and templates in G-Suite environment
Provide ad-hoc expert advice and guidance on the use of G-suite products within the hiring unit
Provide ad-hoc training sessions on the use of G-suite products

Master’s degree in a relevant discipline is required
Bachelor’s degree with additional 2 years of experience may be accepted in lieu of a Master’s degree
A minimum of 2 years of G-Suite experience in G-Suite administration covering Gmail, Calendar, Drive, Meet, Chat, Docs, Sheets, Slides, Data Studio and Google+ at an enterprise level is required, combined with a Master’s degree.
Solid knowledge and experience working with spreadsheets, dashboards and data visualization in G-Suite environment is required
Experience from a GSuite support function is highly desired
Experience using BigQuery data in Google Data Studio is an asset
Experience/knowledge of Microsoft Office is desired
Experience in G-Suite system migration is desired
Experience in an international environment is an advantage
Fluency in both written and spoken English is is required
Knowledge of other UN languages is an advantage
