Organizational Setting

This position is located in FAO Representation to Pakistan, based in Islamabad. The main aim of the FAO country offices, which are headed by an FAO Representative, is to assist governments to develop policies, programmes and projects to achieve food security and to reduce hunger and malnutrition, to help develop the agricultural, fisheries and forestry sectors and to use their environmental and natural resources in a sustainable manner.

Reporting Lines

Under the overall guidance of the FAO Representative in Pakistan, close collaboration with Assistant FAO Representative (Administration) and Direct Supervision of International logistics expert, the Logistics associate will carry out the following tasks.

Technical Focus

Planning, execution, and control of the procured supplies, movement, and stationing of personnel, material, and other resources to achieve the objectives of a campaign, plan, project, or strategy.

  • Logistics and Supply Chain Management systems strengthen\:
  • Reception of goods processes defined (Clearing and forwarding process) where SOPs are developed.
  • Warehousing and stock management systems tools developed and implemented in all the locations that FAO is represented.
  • Transportation and documentation process enhanced, Where development of documents e.g. waybills and delivery notes are developed and introduced.
  • Enhanced system of documentation for completed distributions.
  • Control and Monitoring Mechanism Systems (Monthly Reporting) enhanced.
  • The link between Logistics, Procurement and Operations through close coordination and collaboration with the Technical teams strengthen.
Tasks and responsibilities
  • Manage logistics operations for the reception and distribution of Agricultural inputs and assets procured under the project, including arrangement of efficient and cost effective transportation to the end user based upon agreed distribution plan. (In close collaboration with the International Logistics Officer).
  • Coordinate with the Logistics responsible at the field office (working under the International Logistics Officer) to update continuously the supply movement in each location and produce stock report and distribution reports on weekly and monthly basis.
  • Prepare administrative documentation following clearing agent’s SOP for tax exemptions for custom clearance for international shipments on a timely manner.
  • Ensure comprehensive logistics and administrative records and filing systems are maintained within the office.
  • Manage good and clear communications with clearing agent, warehouse management and the port/airport handling companies.
  • Take on other ad hoc logistic and administrative tasks as assigned by the International Logistics officer.
  • Perform any other duty as and when required.

Minimum Requirements

  • Advance University Degree from a recognized academic institution in one or more of the following areas is preferred\: Logistics and Supply Chain Management, Business Administration, Management, International Development or areas directly related to logistics operations;
  • Five years’ field experience of working in Logistics and supply Chain Management settings
  • Working knowledge of English

Technical/ Functional Skills

  • Knowledge of United Nations and International Organizations’ administrative policies and procedures.
  • Good knowledge of Logistics and Supply Chain Management (Procurement, Stock Management, Transport and Distribution).
  • Good knowledge of communication and documentation standards (reporting)
  • Knowledge and understanding of sourcing within the procurement function.
  • Strong research skills, ability to conduct benchmarking analysis in support of vendor identification, selection and performance management.
  • Display initiative and take responsibility for achieving agreed outputs within set deadlines and closely follow-up until successful outputs are achieved.
  • Continue to seek new, innovative and improved methods and systems for accomplishing the work assigned.
  • Identify and recommend remedial measures to address problems in systems design or implementation
