ORGANIZATIONAL CONTEXT

At this level, job holders demonstrate responsibility and initiative to respond independently to queries with only general guidance for all assistance modalities for both WFP and logistics common services.

There is a requirement to use judgment in dealing with unforeseen problems on a daily basis. Job holders typically manage a small team, supervising and coaching staff.

JOB PURPOSE

The position is based at the WFP Warehouse in Masvingo directly to the Head of Field Office administratively and to the Head of Supply Chain or the designate functionally, with some positions reporting to it.

Te job holder provides logistics support and ensures effective and efficient delivery of commodities to people assisted for all delivery modalities. Supervisse warehouse staff, to ensure high level performance standards are maintained. Coordinate and liaise with partners of service provision on receipts, storage and dispatches of their items.

KEY ACCOUNTABILITIES (not all-inclusive)

Provide specialized and technical support to logistics operations and activities at the warehouse, following standard processes and contributing, directly or indirectly, to the effective delivery of food assistance to the people assisted.

Ensure good warehouse inventory management, timely addressing any existing and developing issues with regards to proper stocks management and standard procedures for commodity handling and storage.

Oversee safeguarding of food commodities and non food items through providing guidance on and taking initiative towards implementation of preventive measures, to ensure that commodities/ non food items are kept in good condition and that quality control actions are initiated as appropriate following WFP established procedures.

Ensuring that internal control systems are functioning and that all relevant records are maintained, performing regular checks on the condition of the commodities and ensure FIFO / FEFO principles are applied

Performing necessary action in the WFP system in line with WFP Requirements.

Coordinate with stakeholders and partners of logistics service provision to ensure proper WFP standards and procedures on receiving, storage and handling of food commodities, ensuring adeaquate storage facilities are available as per contract.

Timley submission of stock reports to the partners and any partners’ feedback and challenges addressed to improve on the effectiveness and efficiency of deliveries.

Perform audits and quarterly physical stock verification with service provision partners.

Allocate transporters for all dispatch plans based on the approved loads allocations and ensure trucks are mobilised for loading on time.

Support gathering market intelligence, vendor assessments (e.g. transporters, retailers) to support vendor selection process.

Supervising and leading staff to develop a talented team through trainings, coaching and any other available opportunities to help improve staff skills and capabilities.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary diploma or degree in Supply Chain, Logistics or any other related area is desirable.
Language: Fluency in both oral and written communication in English.

Experience:

At least 6 years experience working in a warehouse, logistics or supply chain field.

  • Experience using corporate systems to monitor ongoing shipments, pipeline information, insurance claims, and food stock.
  • Experience analysing data (on commodities, funds, etc.) and drafting reports.
  • Experience in measuring service providers’ performance against set KPIs.
  • Experience in assisting the preparation of contract documentation.
  • Experience in providing technical business support in corporate systems.
