As a member of the Communications & Institutional Relations Unit, the Communications Assistant will report to the Head of Communications and Institutional Relations and will provide technical, administrative and financial support to the Communications and Institutional Relations Unit.

 

1. JOB DESCRIPTION

The Communications Assistant will provide support to the Communications and Institutional Relations Unit operations in:

  • Contributing to the logistical and administrative aspects related to the organisation of IMI external events and webinars as well as other activities;
  • Implementing marketing & promotion activities: giveaways, allocation and stock-management;
  • Keeping the IMI website up to date;
  • Building and managing the mailing lists and contact database;
  • Tracking and reporting website statistics and social media analytics;
  • Assisting in the dissemination of IMI’s newsletters and mailings;
  • Assisting in the implementation and monitoring of visual identity guidelines;
  • Managing procurement related to communications activities;
  • Managing the team's finances;
  • Liaising with providers and subcontractors;
  • Contributing to the launch and promotion of IMI Calls for proposals as required;
  • Contributing to the communications team's reporting requirements.

The successful candidate might undertake other tasks and activities when necessary, as requested by the Head of Communications and Institutional Relations, as tasks may evolve according to the development of IMI’s structure or activities.

 

2. QUALIFICATIONS

At the closing date of applications, the candidate must:

  •  have a post-secondary education attested by a diploma 

          OR

  • have a secondary education attested by a diploma giving access to post-secondary education and appropriate professional experience of three years.

Essential Criteria

  • Suitability to perform the tasks described in section 1;
  • At least three years of professional experience in handling the logistics, finance and administrative aspects related to the organisation of events, webinars and other communication activities, after obtaining the minimum qualifications set out in section 2 above;
  • Experience of liaising with service providers;
  • Proven professional experience using website management tools;
  • Experience of budgetary and fianancial mangement;
  • Familiarity with procurement rules;
  • Very good command of spoken and written English

 Advantageous criteria

  •  Good knowledge of EU financial and administrative tools (e.g. ABAC, ARES)
