Vacancy Background

ICMP currently carries out a project in Iraq that wants to build a knowledge base to implement a missing persons process in Iraq. The project is managed through ICMP Center for Excellence and Learning (CEL), a dedicated repository of expertise that provides training and support to stakeholders inside Iraq. The project derives from the activities that the ICMP has been implementing with Iraqi institutions and organizations and aims to increase the skills of Iraqi officials, technical experts, civil society members and others in the area of missing persons. The ultimate objective of the project is to assist Iraq in developing a sustainable process to account for missing persons in an impartial, credible and transparent manner and in line with international standards.

Responsibilities

The Training Coordinator reports directly to the CEL Manager in HQ, and remains in close coordination with the Deputy Head of Program on Iraq training implementation and organization, and to the Head of Program on duties related to document control. Main duties include the following:

  • Manage registrations and respond to inquiries
  • Act as a point-of-contact for vendors, participants and trainers
  • Conduct regular outreach via phone and email to invite prospective participants to training, events and/or webinar
  • Plan, advertise, coordinate, execute and follow-up on all training events
  • Manage all event operations (sourcing venue locations, preparing venue, set-up, clean-up, etc.)
  • Ensure course materials are available for training in a timely and accurate manner by assisting L&D officer with drafting training materials, PowerPoint presentations, training aids, etc.
  • Ensure that course content is updated as required
  • Administer and analyze data collected through participant feedback surveys
  • Develop and maintain strong relationships with speakers, subject matter experts, and external service providers
  • Proactively handle any issues and troubleshoot problems prior to and on the day of execution for training, webinars and events
  • Maintain training records (e.g. trainee lists, schedules, attendance sheets) specific to the L&D Iraq program
  • Manage training equipment
  • Manage ICMP training calendar for L&D activities in Iraq
  • Maintain updated curriculum database and training records
  • Maintain a dashboard to track training, L&D events and webinar registrations, actual number of attendees, and product engagement and conversion metrics
  • Administer the online learning training platform including registering and deregistering participants, acting as help desk to participants, etc

Document Control

  • Work with Documentation Unit team regarding document processing and document control
  • Document numbering, proofreading, formatting and standardizing documents produced by the Iraq Program staff
  • Archiving and logging all documents in the Documentation Unit repository and providing electronic copies to Documentation Unit members in case a limited access to the said repository
  • Responding to inquiries from Iraq Program staff related to document control
  • Other related duties as assigned
