Assisting 91.4 million people in around 83 countries each year, the World Food Programme (WFP) is the leading humanitarian organization saving Lives and changing lives, delivering food assistance in emergencies and working with communities to improve nutrition and build resilience.

 

In 2019, WFP is scaling up its Yemen operations aiming to provide 12 million people with monthly food assistance through direct food distributions, vouchers or cash and nutritional support to nearly 3 million pregnant and nursing women and children under 5.

JOB PURPOSE

To deliver standard business support processes for a specific professional area of work, to facilitate effective service delivery.  

KEY ACCOUNTABILITIES (not all-inclusive)

1.Perform standardized processes and activities in order to support effective, efficient shipment planning and execution.

2.Monitor shipments within a geographical area at load and discharge ports, and regularly update corporate systems, in order to record shipment progress, and identify and escalate any issues.

3. Ensuring the corporate systems are updated at all stages, in order to support the planning and settlement of shipments.

4. Research, collate and present information in standard formats, (e.g. corporate reports, internal performance reviews, supplier reviews), to enable informed decision-making by Shipping Officers, and consistency of information presented to stakeholders.

5. Update and maintain relevant databases and records, ensuring that relevant information (regarding contracts, shipments, payments, pipeline, etc.) is accurate, organized, available for others to access, and supports reporting requirements.

6. Support risk mitigation activities by checking and verifying shipment data and/or documents, identifying and highlighting any issues to a Shipping Associate or Shipping Officer.

7. Respond to a variety of queries and requests for support, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all enquiries.

8. Work with internal counterparts to support the alignment of shipping activities with wider programmes and effective and coherent Supply Chain arrangements.

9. Provide support and/or guidance to other staff, in order to assist them in completing standard tasks to agreed standards and deadlines.

10. Follow standard emergency preparedness practices to support WFP to quickly respond and deploy food and needed resources to affected areas at the onset of a crisis.

STANDARD MINIMUM QUALIFICATIONS
  • 3 or more years of relevant work experience;
  • Completion of secondary school education;
  • Intermediate in English (level B written and spoken);
  • Fluency in Arabic (level C written and spoken), and
  • Either a Yemeni citizen or a foreign citizen with permanent Yemeni work permit.
DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE
  • Proficient in the use of office equipment and computer software packages, such as Microsoft Word.

·      Knowledge of work routines and methods in order to complete processes under minimal supervision.

·      Uses tact and courtesy to give and receive information to a wide range of individuals.

·     Ability to identify data discrepancies and rectify problems requiring attention
