Section Overview:

The Shared Services section provides strategic and operational assistance to This Life in delivering services to local communities. Staff in this unit provide logistical, operational and strategic Financial and HR support to This Life Management and staff, ensuring compliance with Cambodian Law and This Life policies and adopting best practice administrative processes. **

Roles and Responsibilities:

Reporting directly to the Executive Director, the Executive Support Officer (ESO) provides executive support in a one-on-one working relationship. The ESO serves as the primary point of contact for the Executive Director and also serves as a liaison with the Board of Directors. The ESO must be creative and enjoy working within an environment that is mission-driven, results-driven, and community oriented. The ideal individual will have the ability to exercise good judgment and confidentiality in a variety of situations and will possess strong written and verbal communication, administrative, and organisational skills. The ability to maintain a realistic balance among multiple priorities is imperative. The ESO must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

This role performs a high-level service function for the ED and This Life’s external network of donors and partners and therefore will be expected to represent This Life to the highest standard with integrity and confidentiality.

Key Responsibilities:

  • Provide comprehensive support services to the Executive Director that ensures outstanding communication and responsiveness

  • Conserve the Executive Director’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analysing information; initiating telecommunications.

  • Provide sophisticated calendar management; prioritise inquiries and requests, troubleshoot conflicts with little guidance, make judgments and recommendations to ensure smooth day to-day engagements

  • Manage all scheduling and travel logistics for the Executive Director

  • Complete expense reports and manage correspondence with vendors

  • Support Executive Director with internal and external communications

  • Prepare and edit correspondence, presentations, reports, and memos

  • Conduct research and analysis on issues of interest to the Executive Director

  • Support and manage a high-volume of requests and projects to meet the objectives of the Executive Director

  • Represent the Executive Director by attending meetings in the Executive Director’s absence

  • Develop reports for the Executive Director through the creation of dashboards and data visualisation technology

  • Assist in meeting responsibilities to the Board of Directors, including drafting preparatory papers for meetings, following up on action items from meetings and liaising between Board members, Senior Managers and other staff as required.

  • Provide historical reference by developing and utilising filing and retrieval systems; recording meeting discussions.

  • Undertake specific governance projects related to Board, at the direction of the ED, in areas such as policy and fundraising

  • Perform review and analysis of special projects and keep the management properly informed and following up on results

  • Participates actively in the planning and execution of This Life events

  • Manage Executive Director’s social media accounts

  • Responsible for developing and promoting standards and activities that enhance operational procedures

  • Assist in other administrative tasks as needed

Role requirements:

  • Proven office management, administrative or assistant experience

  • Knowledge of governance processes and experience supporting a NFP Board an advantage

  • Excellent time management skills and ability to multi-task and prioritise work and adapt to changing circumstances

  • Attention to detail, problem solving and critical thinking skills

  • Excellent written and verbal communication skills in English (Khmer a major plus)

  • Strong organisational and planning skills

  • Proficient in MS Office (additionally, proficiency in GSuites is an advantage)

  • Knowledge of accounting, data and administrative management practices and procedures
