CHAI's finance team is based out of our Boston office, and provides operational support to programmatic teams working in over 30 countries around the world. Our program teams work to improve access to quality health care and focus on a number of different issues and disease areas including, but not limited to HIV, vaccines, malaria, and maternal and newborn health.

As Payroll Accountant, this person will support multiple initiatives within CHAI driving the payroll process, providing strong customer service and serving as the liaison with CHAI's payroll provider. The Payroll Accountant is responsible for the timely and accurate delivery of payroll and related client service, including recordkeeping and reporting.

 

This role may be based in the United States or a CHAI Program Country, depending on the approval of country leadership. The Payroll Accountant will report to the Senior Payroll Manager.

Responsibilities
  • Provide quality customer service to all employees when responding to all salary inquiries
  • Provide clear and timely communication to staff on any payroll related changes or updates
  • Resolve all staff questions and issues in a timely manner
  • Process bi-weekly and monthly ADP and international (Immedis) payroll cycles
  • Prepare associated international wire file for ADP payrolls
  • Coordinate with HR to enter all payroll data necessary to process and meet clients’ payroll schedules (new hires, personnel changes, terminations, address changes, salary changes, tax changes, 401k deductions, etc.)
  • Maintain current knowledge of the ADP payroll processing system
  • Assist in the review of payroll records to ensure compliance with applicable state and federal wage and hour laws, payroll tax, etc.
  • Process bi-weekly and monthly 401K upload to Fidelity
  • Ensure that state registrations are current
  • Respond to all correspondence from state revenue and unemployment agencies
  • Assist in the review of quarterly SUI & 941 reports for accuracy, and the review and issuance of year-end W-2’s
  • Run scheduled standard and ad hoc payroll reports
  • Correspond with federal, state, and local tax agencies on behalf of clients; keep up to date with any changes in payroll laws
  • Manage BOX accounts and maintain payroll reports for country teams, global teams and operational support staff
  • Assist in processing international payrolls including monthly reconciliations, responding to questions from Country Directors
  • Distributing monthly international payroll registers and all tax reports
  • Ability to create excel postback file of bank statement expenses to be loaded to General Ledger monthly
  • Liaison with the accounting team in reconciling outstanding bank balances
  • Respond to all payroll emails timely and with urgency
  • Other responsibilities as needed
Qualifications
  • Bachelor’s degree in business or related field, or equivalent experience preferred
  • Minimum of 3-5 year’s work experience with primary responsibility for payroll administration and processing
  • Experience working with payroll systems, specifically ADP
  • Knowledge of payroll and accounting practices and principles
  • Knowledge of US state and federal employment laws relating to key areas of responsibility, or international payroll experience 
  • Excellent interpersonal and communication skills (both written and verbal at all levels of management); strength in developing and maintaining client management relationships
  • Ability to work effectively across the organizational and functional boundaries, including with other finance and operational departments
  • Highly motivated self-starter capable of working independently as well as with a team
  • Ability to multitask and work in a fast-paced, limited structured environment; exceptional organizational skills required
  • Ability to adapt quickly to change and create controls that enhance management decision making
  • Ability to create structure and definition in situations that are uncertain or ambiguous in a team environment
  • Comfortable with remote work and virtual relationship building
