Job Purpose.

To support the Executive Assistant to the OI Humanitarian Director and Deputy Humanitarian Director so that the work of the GHT Directorate is supported at all times. The Humanitarian Director and Deputy Humanitarian Director, manage the Global Humanitarian Team, work closely with the rest of the Oxfam international programme and affiliates, service a number of governance and cross-affiliate committees as well as lead on external representation to the humanitarian sector on behalf of Oxfam globally.

key responsibilities

· Support the Executive Assistant to the OI Humanitarian Director and Deputy Humanitarian Director in their responsibilities

· Support the efficient management of inboxes and calendars

· Support planning of departmental events, meetings and appointments as agreed with the Executive Assistant.

· Minute meetings as requested and maintain systematic filing system

· Ensure Humanitarian Director and Deputy Humanitarian Director are prepared for meetings.

· Manage travel itineraries and organise travel arrangements for the Directors (obtaining visas, booking transport and undertaking all associated administration)

· Process expense claims.

· Support Directors with expense and absence management of their line-reports.

· Support organisation of inductions for new starters.

· Process invoices and deliver support with procurement requests.

· Manage HR processes by preparing job descriptions, job postings and contracts amendments in collaboration with the HR team as requested.

· Undertake other tasks as agreed with the Executive Assistant to the OI Humanitarian Director and Deputy Humanitarian Director.

· Cover for the Executive Assistant to the OI Humanitarian Director and Deputy Humanitarian Director in their absence.

· Help foster an appropriate working culture built on Oxfam’s values.
