The mission of the Green Climate Fund is to assist developing countries to respond to climate change while bringing prosperity to their peoples.

Established in 2010, the GCF invests in transformational climate projects in the developing world. The Fund makes an ambitious contribution to global climate action and channels significant financial resources into developing countries to help build low-emission and climate-resilient societies.  It is country-driven and undertakes actions that reflect the circumstances of each country concerned and its national aspirations. The GCF is a key enabler of the 2015 Paris Agreement on Climate Change.

Since its establishment, the GCF has approved 111 projects in 99 countries and has committed USD 5.0 billion in climate finance. In addition, it has built up an extensive program to support developing countries to identify their needs, in particular, those who are most vulnerable to climate change impacts.

Position Objective

The Team Assistant supports the IRM team in the execution of its five mandates: processing requests for the reconsideration of funding proposals; processing complaints from persons adversely impacted by GCF projects; providing advice with an eye to improving GCF performance and outcomes; working with GCF direct access entities to build their capacity related to grievance mechanisms and procedures; and conducting outreach to raise awareness about the work of the IRM. The Team Assistant will be responsible for the execution and co-ordination of logistical and administrative tasks, which will include the facilitation of procurement processes, organising meetings and workshops, coordinating travel arrangements, liaising with IRM stakeholders, preparing presentations, supporting the IRM’s communications efforts, and maintaining IRM records in the IRM’s SharePoint and Case Management System. In addition to general administrative tasks, the Team Assistant will be expected to contribute substantively to the IRM team, and there will be opportunities for the Team Assistant to be involved in the IRM’s case work, and to contribute to content preparation for IRM events and communications. 

 

Duties and responsibilities

Purpose

  • Provide general administrative and office management support to the IRM;
  • Coordinate logistics for IRM events, particularly capacity building workshops and outreach activities;
  • Help execute the IRM’s communications strategy.

 

Engagement

  • Coordinate the internal flow of communications within the team, ensuring timely dissemination of information to all;
  • Build relationships with IRM stakeholders and coordinate logistics with IRM event participants;
  • Facilitate IRM procurement and recruitment processes in collaboration with the GCF’s Procurement and Human Resources units;
  • Receive visitors and maintain the calendar/schedule for arranging meetings and appointments for the Head of the IRM and IRM Staff. 
     

Delivery

  • Upload and prepare content for the IRM’s website, and social media pages;
  • Maintain IRM official records, including the IRM’s stakeholder database, SharePoint and Case Management System;
  • Format, proof-read, and edit texts for adherence to established standards, grammar, and style in official documents, reports, and invitation letters.
     

Required experience and qualifications*

Education (minimum requirement)

  • Bachelor’s degree. 
  • Master’s degree is highly desirable.  

 

Relevant work experience (minimum requirement)

  • 3 years (AS-C) of relevant working experience in a professional capacity, such as experience within an international organization, development agency, governmental, private sector or non-profit sector. 
  • Specific experience aligned to the duties and responsibilities set out above is highly desirable. 
  • Experience working in a compliance unit or redress mechanism or integrity unit even as an intern can be counted towards minimum work experience requirements.

 

Skills

  • Good knowledge of office technology such as MS office package; 
  • Experience in working with databases is highly desirable;
  • Expertise in creative design software and multi-media editing software is highly desirable;  
  • Formal training in secretarial, clerical, administrative, and/or operational services desirable; 
  • Ability to deal with large volumes of work under time pressure with a high level of accuracy and attention to detail; to exercise tact and discretion in dealing with governing bodies;
  • Ability to organize his/her work, set priorities, meet critical deadlines, and follow up on assignments with minimum direction;
  • Strong teamwork and interpersonal skills, and highly developed cultural sensitivity in communicating with all levels of staff and external clients, both orally and in writing.

 

Language requirements

  • Fluency in English is essential; knowledge of Korean is an advantage; Knowledge of another United Nations language is an advantage.

There will be three rounds of recruitment for this position – a screening video interview, a written test, and thereafter a video interview for shortlisted candidates.

 

 *The person assessed by the Selection Panel as most suitable for the position will be proposed for appointment. Selection among short-listed candidates will also take into account performance at interview, appropriate testing, and references.
