Based in Amman, Jordan the Grants Manager will provide grant management, business development, and reporting support to the Grants Unit. The Grants Manager will work closely with program staff, finance, and operations to ensure quality management of programs in the portfolio. The Grants Manager is expected to work closely with and report to the Grants Coordinator to ensure that reports are developed and submitted in compliance with donor priorities and requirements and submit on a timely basis. The Grants Manager will work with the Partnership Unit as it affects sub award management, proposal development, and donor reporting.

Award Management and Compliance

Act as a focal point for their respective grant’s portfolio. This includes collaborating with colleagues in Jordan, regionally, with headquarters colleagues, finance, partnership, monitoring and evaluation, communications, and supply chain.

Submit high quality donor reports, narrative and financial, on a timely basis according to IRC and donor regulations. Ensure all required documents are included, complete, correct and approved by the respective Program Coordinator/s and country management.

Consistently review compliance requirements to ensure all departments follow accordingly.

Respond to requests such as budget realignments and other financial or operations requests as needed.

Maintain knowledge of grant agreement language and regulations, serving as a knowledge resource on assigned donors and escalating questions where needed.

Raise compliance issues proactively with the Grants Coordinator and the grants focal points at HQ, and respond to the Jordan team enquiries accordingly.

Lead grant opening meetings, quarterly grant review meetings, and grant close out meetings, and circulate minutes and action points.

Keep the Grants Coordinator informed of any projected inabilities to meet contractual obligations, report submission, and spend rates and significant budget variances. Be able to proactively mitigate risks through proposing remedial solutions in consensus with department heads.

Compile and respond to information requests from IRC’s regional, London and NY offices.

Ensure that all the grant phases are tracked and approved in IRC’s grants tracking system.

Ensure all soft and hard copies of the grants documents as well as the important correspondences are saved the IRC’s online and paper filing system.

Prepare monthly reports for finance and regional colleagues, in addition to ensuring that all the grants tools such as the funding tracker and reporting timeline are up to date.

Prepare notes for the bi-weekly grants meetings with the head offices in NY, UK, and Germany.

Business Development

Support high quality proposals and budgets that are relevant to the goals and scope, while including input from key stakeholders (finance, operations, programs, partners, etc.).

Contribute to all aspects of the proposal development process – including compiling and editing proposal narratives, budgets, and budget narratives, drafting of required annexes, etc.

Work closely with grant counterparts in NY, London, and Amman to adhere to proposal timelines and requirements.
