“Administrative Assistant (m/f/d) – Asia & Americas” 

Main objective of the role:

Reporting to the Director of the Programme Delivery Asia & Americas department, the job holder provides support in organising meetings, improving internal communications, planning, and monitoring of internal budgets, and providing travel support.

We are looking for someone who will…
  • Proactively manage and perform administrative tasks within the Department. 
  • Support the annual planning exercise.
  • Provide travel support to the Programme Delivery Asia & Americas team.
  • Organise international CBM meetings and calls (in person and virtual).
  • Coordination and preparation of meeting agendas.
  • Booking of conference rooms / set up virtual environment, hotel rooms.
  • Providing logistical support to participants (airport transfers, lodging, visum).
  • Taking meeting minutes/ reporting.
  • Support annual budget planning.
  • Provide support to budget implementation (accounting of invoices, following up on outstanding items).
  • Take on other tasks in line with arising needs, agreed priorities and available capacities.

We are looking for someone who has…
  • Commercial or secretarial training or a Diploma in Business Administration or related field. 
  • Minimum of 3 years in an administrative / assistant position preferably in a multinational corporation or an international not-for-profit organisation.
  • Experience in organising international meetings and conferences, including logistics, taking of minutes, documentation, and reporting.
  • Proficiency in MS Office, MS SharePoint Solutions, Web Conferencing Software, and accounting software.
  • Initiative personality who identifies what needs to be done and does it before being asked to or required by the situation.
  • High degree of thoroughness to ensure that one’s own and other’s work and information are complete and accurate and follow up with others to ensure that agreements and commitments have been fulfilled.
  • Good written communication, and verbal cross-cultural communication skills.
  • Professional proficiency in English and German, Spanish and/or French would be advantageous.
