Background

Under the overall guidance of the Country Representative and reporting to the Programme Analyst, the Assistant Project Officer is responsible for conducting the day-to-day activities and operations of the programmes (EVAW in particular) and promotes a client-oriented approach consistent with UN Women rules and regulations, standard practices and guidelines. In addition, he/she is responsible for providing a variety of programmatic and administrative support by maintaining full confidentiality in all aspects of assignment and, in close coordination with the Office management and staff, for managing the efficient flow of information and communications to ensure expeditious dissemination of information, timely action and compliance with established deadlines.

Duties and Responsibilities

1. Ensure project implementation to ensure that the project produces the results specified in the Annual Work Plan, including the budgeting and control of the financial commitments:

  • Work with the Programme Analyst to build common understanding and coordination on project activities along national counterparts.
  • Review project components, develop Project resource profiles and timelines, assess delivery issues .
  • Design, oversee, and coordinate the implementation of relevant project activities with implementing partners.
  • Develop Annual Work Plans and monitor their implementation and continuous relevance.
  • Support and inform corporate and donor reporting.
  • Participate to meetings and events related to the project, draft and maintain minutes.
  • Collect, analyze and present information for identification of areas for support and programme formulation/ implementation.
  • Create projects in Atlas, prepare budget revisions, and determine unutilized funds, operational and financial closure of a project.
  • Prepare and present requested information for audits.
  • Perform other work-related duties as required.

 

2. Provide administrative service to the Programme Unit focusing on achievement of the following results:

  • Provide substantive administrative and logistical support to the organization ofmeetings, conferences, etc., assist with proposing agenda topics, identifying participants, preparation of background documents and presentations, handling logistics, etc.
  • Participate in field missions, including provision of substantive and administrative support, data collection, etc.
  • Create requisitions in Atlas for development projects, register of goods receipt in Atlas.
  • Prepare routine correspondence, faxes, memos, and reports.
  • Extract, input, copy and file data from various sources.
  • Maintenance of files in the Programme Unit/ hardcopy and electronic filing of all supporting documentation, project documents.

 

3. Resource mobilization focusing on achievement of the following results:

  • Identify potential funding sources and assist in updating the resource mobilization plan.
  • Assist with preparation and submission of proposals.
  • Liaise Information to develop project documents and other communications products related to funds mobilization.

 

4. Facilitate knowledge sharing in the CO focusing on achievement of the following results:

  • Participate to training sessions for the operations/ projects staff on programmatic-related issues.
  • Contribute to knowledge networks and communities of practice.
  • Identify training opportunities, conduct training and/or help organize training events and activities.
  • Collect and compile lessons learned and best practices in project management and administrative services and disseminate them as appropriate to build capacity and knowledge.

Required Skills and Experience

 

Education and certification:

 

Master’s degree in Social Science, Gender, Human Rights, international development or other related field.

 

 

Experience:

  • At least 4 years of experience in project implementation and administration is required.
  • Experience working in cooperation with local partner and Government.
  • Experience working with the UN is an asset.
  • Experience in gender sensitive programming would be an asset.
  • Experience in financial management & with an Enterprise Resource Planning (ERP) system is required.
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc).

 

Language Requirements:

 

  • Fluency in English, French is required
  • Arabic is an asset
