GENERAL BACKGROUND

Danish Refugee Council, one of the world’s leading humanitarian NGOs, is currently looking for a qualified and motivated Warehouse Assistant who will facilitate provision of basic humanitarian assistance to refugees, asylum seekers and migrants in BiH.

About the organisation

Danish Refugee Council (DRC) has been working in Bosnia and Herzegovina since 1992 and closed its office in the country at the end of January 2010. In July 2018, DRC re-opened its mission responding to increasing and priority needs of Person of Concern (PoCs) in close cooperation with the BiH Authorities. More specifically, DRC BiH focuses on improving the access to primary and secondary health care, including psychosocial and mental health services to PoCs, as well as on enhancing the overall protective environment for PoCs, with particular focus on case management in SGBV and timely outreach response to the rights violations at the borders. DRC has its main office in Sarajevo and the activities implemented in Una-Sana, Herzegovina- Neretva, Sarajevo Canton and from October 2019 activities started in Tuzla Canton and Republika Srpska.

Position: Warehouse Assistant

Duty Station:  Una-Sana Canton (USC)

Period of engagement: May 2021 – July 2021

Basic functions: The Warehouse Assistant will be responsible for receiving and release of materials as per DRC rules and regulation and the general management of the warehouse. The position holder is expected to work smoothly and with integrity among program, finance and procurement team, while ensuring quality implementation and donor compliance.

Reference:  Warehouse Assistant refers to the Warehouse Team Leader, working in close coordination with other DRC Warehouse Team Staff.

Specific duties and responsibilities:

  • Ensures and helps that the DRC warehouse is managed according to DRC warehouse standards and records are kept for audit
  • Responsible for providing necessary support in case of discrepancies and/or poor quality in shipments and to perform dialogue with suppliers for solutions; 
  • Responsible for controlling and providing necessary support to keep enough records of any transactions and movements of products in the warehouse;
  • Assists and supports the Warehouse Management to calculate adequate warehouse space needed for future deliveries;
  • Ensure adequate space for storage of goods and proper daily management and 24hr security of the physical warehouse;               
  • To inspect & receive all stores as per the PO and issue/release all stores by following DRC Ware housing standard procedure;
  • To keep all stores in traceable, countable, neat and well protected manner, ensure the wellbeing of the store;       
  • Ensure 100% security of the warehouses and the commodities;
  • To check waybills /delivery notes against physical quantity and quality;
  • To enter all goods into bin cards and daily update the bin cards and stock report;
  • To ensure goods are stored correctly with the right stacking height so that their condition is maintained;
  • To ensure common safety and security procedure and protocol pertinent to warehouse;      
  • Organise the loaders and ensure that materials are handled properly
  • Report on the quality report for the line supervisor that can give Smart feedback for the supply chain of the office in general; 
  • Documentation of all warehouse document in chronological transparent, auditable manner.

Qualifications & experience required 

  • Secondary degree or higher education in related field;
  • Experience on refugee/migration related issues would be an asset;

Work experience 

  • At least 1 years of experience in working in Distribution;
  • Added value would be experience in refugee/displacement programs or in programs targeting local vulnerable groups with health challenges;

Key Competencies

  • Proven experience working in emergency settings;
  • Experience in organizing and facilitating capacity-building initiatives, including trainings for colleagues and partners;
  • Excellent interpersonal and problem-solving skills, diplomacy skills, flexibility and pro-activeness
  • Strong planning and time management skills;
  • Strong written and oral communication skills, effective in representation and liaison with external parties;
  • Above average computer literacy (incl. Excel);
  • Thorough understanding of best practices and strategies in warehouse setting;
  • Experience in training facilitation and inputting to training contents;
  • Valid driving license, high level of professionalism evidence by clear driver’s record;
