Organizational Context:

The post is based in Beirut Country Office (CO). The incumbent reports to the Head of Admin or his/her designate. 

 

Job Purpose:

To support the Country Office in protocol operations, particularly in the port operations, clearance of shipments and aviation cargo.

 

 

Accountabilities:

Within delegated authority and under the direct supervision of the Head of Administration or his/her designate, the incumbent will be responsible for the following duties:

  • Draft letters to concerned government parties to secure entry permits to restricted areas such as Ports, airports to facilitate WFP operations.
  • Draft special permit requests, declaration in Douane or any other clearance formality required for WFP shipments.
  • Follow-up on the clearances of submitted applications with the relevant authorities for shipments or aviation cargo.
  • Translate directives and communiques received from the government pertaining to the current situation.
  • Support the logistics/port team in their official communication with the government for high level visits and meetings.
  • Support the Admin Officer in updating the status of assets affected by the office explosion for Country Office and Beirut Field Office.
  • Carry out assets transactions on specialized platform as needed.
  • Support in identifying the number of assets requiring replacement.
  • Perform other related duties as required.

 

Desired experiences for entry into the role:

  • Has demonstrated an ability to perform all routine administrative activities in line with the operating standards through day to day work.
  • Has supported in providing ad-hoc guidance to new staff members.
  • Excellent communication and interpersonal skills

 

Standard minimum qualifications:

Education:

Completion of secondary school education. University degree in the field of Business Administration or Translation is a plus. 

 

Experience:

At least four (4) years of progressively responsible experience in the fields of Protocol or Translation or other related field.

 

Language: 

Fluency in both oral and written communication in Arabic and English. Knowledge of French language is added advantage.
