In DRC, CHAI provides technical and managerial assistance to the national malaria program (PNLP) in order to accelerate policy changes, ensure sufficient supply commodities, generate demand among health providers and patients and ensure adequate monitoring and troubleshooting mechanisms are in place to track progress. In addition, CHAI is also supporting the national PNLP to identify the bottlenecks and potential solutions in surveillance systems, specifically to improve the collection, reporting, analysis and use of data for programmatic decision-making. DRC being the newest addition to CHAI’s portfolio in the region, where initial efforts will be focused on conducting country-specific surveillance landscaping and case management assessments, followed by efforts to design and implement improvements to the surveillance and system and case management. 

 

CHAI DRC is seeking for a highly motivated individual as a Program Assistant based in Kinshasa.

Responsibilities
  • With each Program Associate, plan and prepare for workshops, training, and conferences, inviting participants and maintaining attendance lists, source venues, accommodation, travel logistics, etc.;
  • Compile programs/agenda for all meetings, workshops, training sessions, etc.;
  • Maintain and manage contact database (targeted groups, stakeholders, other relevant actors);
  • Ensure availability of workshop materials, including all necessary documentation, prepare participants/travel list, track activities and experts reporting or contract management;
  • Contribute towards updating activities plans and implement activities accordingly;
  • Upload program/agenda, attendance lists etc.;
  • Ensure vehicle logbook is kept and signed by users;
  • Take minutes from team meetings;
  • Support the PM and Associates in project planning and reporting;
  • Support the financial team in regards to cash request and procurement processes, and checking of expense reports and claim forms;
  • Support the scanning of financial documents;
  • Other responsibilities as needed.
Qualifications

Candidates should have the following educational background, work experience and skills:

  • University Degree in Political Science, Development Studies, Project Management, Accounting/Finance, Economics or a related field
  • At least one (1) year of professional experience in financial and administrative tasks in a project environment
  • Ability to work in an international, multi-ethnic environment
  • Able to work independently with well-developed team player skills
  • Ability to maintain attention to detail and to work under the pressure of rigid deadlines and conflicting priorities
  • Ability to communicate detailed accounting information clearly and concisely, both verbally and in writing
  • Ability to participate as a contributing member of an international and customer-oriented team
  • Strong computer literacy, including Microsoft Office and Excel in particular
