ORGANIZATIONAL CONTEXT

The staff member will work at the Area Office Aden.  She/he will work under the direct supervision of the Area Human Resources Officer.

JOB PURPOSE

The staff member will work at the Area Office Aden.  She/he will work under the direct supervision of the Area Human Resources Officer.

KEY ACCOUNTABILITIES (not all-inclusive)

  1. Responsible for all HR tasks at the sub-office Aden;
  2. Responsible for SSA recruitment
  3. Focal point for all recruitments for all Aden Area-Office positions, ensuring all posts requests adhere to HR policy requirements i.e. approved requests, budget availability, appropriate TOR, etc.;
  4. Preparation and updating of Aden organogram;
  5. Assist in reviewing all TOR’s in Aden office in coordination with the head units and direct supervisors;

KEY ACCOUNTABILITIES - PART 2

  1. Daily update the Staff Lists including the International Staff List;
  2. Up-date the Staff Security List for Aden Area-Office and related hubs;
  3. Coordination with hiring managers for timely shortlisting and compilation of relevant tests for selecting candidates;
  4. Contribute to the effective management of the employment relationship between WFP and its staff, by administering conditions of service, contracts and appropriate entitlements.
  5. Support staff capability building, working with managers to understand individual skills and business requirements, and organizing development solutions which equip people with the skills and knowledge required to meet current and future challenges;

KEY ACCOUNTABILITIES - PART 3

  1. Support and deliver on-boarding activities to ensure new employees have a positive experience of WFP, and are successfully integrated into their new role and the organization;
  2. Collate data and contribute to preparation of accurate and timely reporting, supporting a WFP wide view of HR activities that enables informed decision-making and consistent information for stakeholders;
  3. Conduct straight forward data analysis under close guidance of the Area HR Officer, to support others on projects or contribute to process efficiencies and improvements;
  4. Focal point for training on the benefits of and utilisation of PACE as a staff development tool;
  5. Sharing of all the HR Reports with the concerned on a regular basis as per HR established systems.
  6. Focal point for HR Workspace and Share-drive.
  7. Focal point for organizing HR document for Audit;
  8. Perform related duties at the request of the supervisor.

STANDARD MINIMUM QUALIFICATIONS

Procedures and regulations:

Know the procedures and regulations that govern WFP Human Resources and be able to answer questions from staff.

Experience: Five or more years of progressively responsible experience in the relative business stream with experience in general administrative work.

 

Education: Completion of secondary school education. A post-secondary certificate in the related functional area. 
Language:
Fluency level C in both oral and written communication in English and Arabic.

  • Proficient in the use of office equipment and computer software packages such as Microsoft Word.
  • Knowledge of work routines and methods in order to complete process under minimal supervision.
  • Use tact and courtesy to give and receive information to a wide range of individuals.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Knowledge of HR processes.

At G6 level: Well organized, reports and/or records, put together independently with only general guidance. Well organized work with accurate information and databases; efficiently supervised team of support staff or work unit.

1. SC holders are eligible only if they have minimum cumulative 1-year experience in WFP 
2. WFP staff who are still under probation period are not eligible to apply for another GS position.
3. WFP staff on FT contracts must have completed one year in the current position to be eligible to apply for another FT position.
