In India, Jhpiego works across various states in close collaboration with national and state governments, providing technical assistance in the areas of family planning, maternal and child health, strengthening human resources for health, and non-communicable diseases. These programs are funded by USAID, Bill & Melinda Gates Foundation, David & Lucile Packard Foundation, Children’s Investment Fund Foundation (CIFF), MSD for Mothers and other anonymous donors

Jhpiego is hiring for the position of Finance Associate (FA) based at New Delhi. The FA will work with the staff based at India Country Office to assist in the implementation of activities and support finance functions. The position will report directly to Manager Finance at the India Country Office.

Responsibilities:

• Serve as a key contact person for retrieval of financial records.
• Assist FM and FO’s in managing routine financial operations with particular emphasis on handling QuickBooks, accounts payable, monitor program budgets, preparing and submitting monthly financial reports and assisting in conducting financial analysis & reviews. This includes support to state-level offices and staff.
• Assist with bookkeeping, financial records keeping and filing.
• Prepare vouchers and checks for signature.
• Provide data entry support for generating records into accounting software Quick Books.
• Maintenance of financial transactions, which includes updated records of project codes, line items, filing periodical reports and other finance related transactions and documents.
• Assist with payment disbursement including preparing forms and receipts for approval and payment (personal reimbursements, travel reimbursements, telephone reimbursement, salary, consultant payments) communication about payments made, and recording information in relevant database.
• Maintaining Voucher Tracking System on a regular basis and provide outstanding report to the Supervisor on a monthly basis.
• Ensure all vouchers/bills are processed within 15 days from the date of receiving at the ICO.
• Assist with reviewing invoices received from vendors and keeping track of travel/ workshop advance and its liquidation upon submitting travel expense report/ workshop expenses by the concerned staff.
• Preparing NEFT’s, uploading and processing payments through S2B and Dispatching checks/drafts to state offices and vendors.
• Providing Finance Orientation to New Staff relating to Jhpiego policies and procedures.
• Assist in coordination with new staff for opening of salary account and liaison with the bank (e.g., follow-up with the bank for issuance of demand drafts, check books, and visit banks).
• Assist in compiling the monthly financial report including checking documentation and making sure of timely compilation of vouchers and bills.
• Provide guidance to State F&A staff and new hires on Jhpiego Financial Management systems/Forms/9+Procedures.
• Any other duties as assigned by the Supervisor from time to time.

Abilities:

• Accuracy and strong computation skills.
• Ability to develop good working relationships with other agencies, stakeholders and other organizations.

• Demonstrated ability to multitask.
• Attention to details and ability to produce documents and coordinate activities with little supervision.
• Comfortable working in a multicultural work environment.
• Ability to manage/ prioritize work from several sources.
• Good verbal and written communications skill in English and Hindi.
• Proficient to work on MS Office, especially MS Outlook, MS Word, MS Excel and MS Power point and accounting software.
• Willingness to learn and adapt new things.
• Flexibility to travel as and when required.

Qualifications:

• Bachelors/ Masters of Commerce with 4 - 6 years relevant work experience in finance & accounts.
• Experience of working with international agencies or other donors/NGOs is essential.
