Vacant Post, Type and Duration of Appointment

IACA offers a fixed-term appointment for the duration of two years, with a probationary period of four months. Upon consent by both sides, this fixed-term appointment may be renewed for another term(s). For detailed information, please consult the Staff Rules of the International Anti-Corruption Academy.

 

Remuneration

As an international civil servant, the incumbent will be entitled to an all-inclusive annual salary of 44,232 EUR. An adjusted dependency benefit will be given to staff members with at least one child.

Job Description

Project Assistant for Training and Capacity Development

 

 

Post

This Job Description illustrates the job profile, including the responsibilities, skills, education, and professional experience required for the post of Project Assistant for Training and Capacity Development (hereinafter referred to as Project Assistant), classified AD 9, in the Administrative Branch of the International Anti-Corruption Academy (IACA).

 

Profile

Within IACA’s organizational structure, the Project Assistant provides overall support for the proper implementation of non-academic programmes and activities. To this end, he/she contributes to the proper workflow, results, and functioning within the team. The Project Assistant reports to his/her superior and senior management, as defined by the Dean.

The Project Assistant’s place of employment is at the IACA campus, in a multinational environment. He/she may also be sent to IACA’s other offices or to those of partners, contractors, or other third parties, in Austria or abroad. He/she may also be sent on official missions abroad, as work requires, and thus must hold valid international travel documents. The incumbent is required to devote working hours to, inter alia, conceptual issues, administration, planning, drafting, communicating, reporting, and coordinating with others.

 

Duties and Responsibilities

The Project Assistant provides administrative and logistical assistance for the smooth implementation of programmes and activities. The incumbent cooperates with external partners and effectively communicates with participants and lecturers in this respect. In addition, he/she also makes travel arrangements including visa support for participants and lecturers. He/she is also responsible for maintaining up-to-date files and records of projects documents and for ensuring that background information and cross reference copies are properly maintained. Next to that, the Project Assistant is tasked with budgeting and financial reporting on the projects. This includes drafting and monitoring budget expenditures, maintaining proper records for financial reports, and preparing financial reports.

The Project Assistant is responsible for ensuring proper and reliable knowledge management with regard to his/her projects, and also compiles and submits necessary reports to his/her superiors.

Furthermore, he/she supports in the training and guidance of, e.g., interns, advising them, among others, on workflow, administrative practices and procedures.

He/she actively contributes to the development and maintenance of IACA’s distinctive character as centre of excellence in the field of anti-corruption training and education. In line with IACA’s team spirit, he/she occasionally works on other tasks given by his/her superiors, not related to his/her appointment, but where his/her work, experience, and skills are an asset and/or the immediate shortage of personnel capabilities require so.

 

Skills

The incumbent

-        has proven experience in supporting project organization and implementation, including project budgeting and accounting, reporting and evaluation,

-        knowledge and understanding of practices in the field of anti-corruption and/or compliance are an asset,

-        has excellent communication skills and is able to present his/her ideas and content in a clear and structured way, both verbally and in writing,

-        has excellent written and oral communication skills in English,

-        has sound analytical skills and is an effective problem solver,

-        is confident and proactively pursues his/her goals,

-        is prepared to take over responsibility,

-        is able to work independently and within a multinational environment as well as with people from different professional backgrounds,

-        is able to work well under pressure, adapt to challenging and changing environments, and meet deadlines,

-        is familiar with the handling of contemporary computer software (MS Office), in particular Microsoft Office Excel.

 

Education

High school diploma or equivalent.

Professional Experience

A minimum of three (3) years of professional experience in the field of project management and implementation is required, preferably in an international organization.

For applicants with higher academic qualifications in a job-related field, minimum one (1) year of professional experience in the relevant field is required. Additional qualifications in a job-related field, additional languages, as well as periods of studies abroad are considered an asset.
