IRC Background

Founded in 1933, the IRC is a leading nonsectarian, voluntary organization providing relief, protection and resettlement services for refugees and victims of oppression or violent conflict. One aspect of the IRC is to assist refugees resettling in the United States. The IRC opened a Denver office in 2016 to provide reception and placement services to newly arrived refugees. The office is slated to resettle more than 600 refugees in the coming federal fiscal year. Wraparound program services and holistic supports aim to realize positive impact in clients’ safety, health, education, economic wellbeing, and power. Some services are limited to refugees and other Office of Refugee Resettlement (ORR)-eligible populations, while others are open to a broader population of refugees, immigrants, and forcibly displaced people.

 

The IRC in Denver’s approach is client-centered, empowerment-focused, trauma-informed, and multigenerational. Advancing racial equity and narrowing the gender gap are priorities for the IRC in Denver. The team’s efforts in this space are ongoing and evolving. Current work is focused on participating in learning and dialogue to deepen understanding and awareness of systemic inequities and systems of oppression; building an internal organizational culture that reflects a commitment to antiracism and gender equality for clients as well as staff, volunteers, and the broader community; engaging clients more deeply in making decisions that affect them, whether at the individual, household, program, or organizational level; using our power and influence to advocate for rules, policies, and laws that address inequities experienced by the people we serve and seek systemic change for the benefit of all who are impacted by these inequities; undertaking intentional efforts to shift dynamics and promote power sharing between leadership and the broader team as well as between staff and clients; and examining and changing practices in recruitment, recognition, and other areas of employee engagement and talent development to prioritize access to opportunity and work toward full inclusion and belonging for clients, staff, and volunteers who identify as Black, Indigenous, People of Color, and LGBTQI, as well as those with disabilities and those who have lived experience as refugees and immigrants.

 

Job Overview

The Operations Coordinator is responsible for the coordination of operational functions of the Denver office, resulting in a well-functioning, compliant environment for staff, clients, and partners.  The Operations Coordinator is the primary point of contact for Human Resources (HR), Supply Chain (SC), Facilities Management, and Information Technology (IT), and contributes to Safety & Security (S&S) together with the office’s Security Focal Point. This is a challenging position that requires strong organization, creative problem-solving, a high level of personal initiative, and the ability to work well in a fast-paced, multicultural environment. This position reports to the Executive Director.

 

Major Responsibilities

Major responsibilities include but are not limited to:

 

Human Resources Focal Point (HRFP)

•          Serve as the office’s first point of contact on employee lifecycle matters, including but not limited to recruitment, new hire setup and orientation, benefits, payroll, on-boarding, leaves of absence, status changes, and separations.

•          Coordinate background checks for staff, interns, and volunteers.

•          Maintain time off calendar and leave balance tracking.

•          Support compliance with HR-related IRC policies and procedures and state-specific labor laws.

•          Coordinate HQ initiatives related to IRC Way, Duty of Care, Safeguarding, and related content.

 

Information Technology (IT)

•          Serve as the office’s primary focal point for IT and communications infrastructure, hardware, and software matters.

•          Educate staff about IT support resources, including appropriate channels for incident reporting.

•          Work with regional and HQ IT teams to address any internet or telecommunications service disruptions, liaising with local internet and telecommunications service providers.

•          Maintain IT inventory and provide training to staff on IT-related matters as needed.

 

Supply Chain

•          Serve as primary point of contact for procurement and supply chain.  Order supplies, equipment etc. in accordance with supply chain and financial compliance guidelines and coordinate servicing and repairs as needed.

•          Manage and maintain digital and physical files in keeping with procurement policies and donor requirements.

•          Manage vendor billing/invoices in coordination with Finance team.

•          Coordinate fleet management in accordance with established protocols.

•          Coordinate on- and off-site storage needs.

•          Aid in tracking inventory and establishing solid mechanisms for tracking items distributed.

 

Facility Management

•          Manage office and equipment leases.

•          Coordinate repairs and improvements with property managers as needed.

•          Coordinate the allocation of workspaces and support related employee lifecycle needs such as building access.

•          Support smooth functioning of office infrastructure including communications equipment and services.

•          Assist with planning and coordinating office events and meetings.

 

Safety and Security (S&S)

•          Provide back up support for day-to-day S&S matters, working closely with the office’s Security Focal Point (SFP).

•          Coordinate immediate incident management including filing police reports.  Report S&S incidents involving covered persons in accordance with established protocols.

•          In close coordination with the SFP, develop office-specific S&S onboarding materials, ensuring the provision of S&S briefings to new staff and covered persons.

•          Organize a minimum of one emergency evacuation exercise at office or program site level per year and other appropriate trainings informed by Security Risk Assessment findings.

 

Other Duties

•          Attend relevant meetings and represent the IRC in Denver with stakeholders as requested.

•          Actively participate in internal meetings and trainings.

•          Perform other duties as assigned by the Executive Director.

 

Key Working Relationships

Position Directly Supervises: N/A, may supervise interns and volunteers supporting operations functions.

 

Job Requirements

•          Minimum of 3 years demonstrated record of success in managing and improving the daily administrative functions of an organization.

•          Highly organized self-starter with demonstrated problem-solving and follow-through ability, and proven success in managing multiple and diverse priorities under pressure.

•          Strong analytic problem-solving skills with attention to detail.

•          Ability to troubleshoot basic IT issues.

•          Excellent verbal and written communication skills as well as an overall ability to be clear and concise in all communications.

•          Strong organizational and time-management skills; proven ability to prioritize and deliver on time in a demanding, fast-paced environment.

•          Ability to work both independently and in a dynamic, cross-functional global team structure.

•          Highly proficient in Microsoft Office suite, internet applications, and relational databases.

•          Demonstrated ability to work effectively with stakeholders at all levels.

•          Ability to manage and work through change in a proactive and positive manner.

•          Ability to work some evenings and weekends as needed.

•          Valid driver’s license, access to reliable vehicle with current insurance, and the ability to travel as needed in and around the community to oversee operations and meet with staff, partners, and other stakeholders.

•          Fluency in verbal and written English required.

•          Prior people management experience preferred

 

Working Environment

•          Standard office work environment combined with considerable time in the field and in neighborhoods where refugees live.

•          Hours outside of typical office hours may be required.

 

Note that COVID risk mitigation measures are currently in effect, with the IRC in Denver’s offices currently closed to the public. Employees are required to follow strict COVID risk mitigation protocols in accordance with organizational policies, including but not limited to mask wearing, social distancing, enhanced hygiene practices, and self-isolating and quarantining when appropriate.

 

Compensation and Benefits

This position is a full-time, regular, non-exempt position scheduled at 37.5 hours per week with a starting hourly wage of $25.00-$26.50 depending on qualifications and experience. As a regular, full-time employee, the Operations Coordinator is eligible for the IRC’s comprehensive benefits package, which includes:
