Organizational Context

The United Nations Industrial Development Organization (UNIDO) is the specialized agency of the United Nations that promotes industrial development for poverty reduction, inclusive globalization and environmental sustainability. The mission of the United Nations Industrial Development Organization (UNIDO), as described in the Lima Declaration adopted at the fifteenth session of the UNIDO General Conference in 2013, as well as the Abu Dhabi Declaration adopted at the eighteenth session of UNIDO General Conference in 2019, is to promote and accelerate inclusive and sustainable industrial development (ISID) in Member States. The relevance of ISID as an integrated approach to all three pillars of sustainable development is recognized by the 2030 Agenda for Sustainable Development and the related Sustainable Development Goals (SDGs), which will frame United Nations and country efforts towards sustainable development. UNIDO’s mandate is fully recognized in SDG-9, which calls to “Build resilient infrastructure, promote inclusive and sustainable industrialization and foster innovation”. The relevance of ISID, however, applies in greater or lesser extent to all SDGs. Accordingly, the Organization’s programmatic focus is structured in four strategic priorities: Creating shared prosperity; Advancing economic competitiveness; Safeguarding the environment; and Strengthening knowledge and institutions. Each of these programmatic fields of activity contains a number of individual programmes, which are implemented in a holistic manner to achieve effective outcomes and impacts through UNIDO’s four enabling functions: (i) technical cooperation; (ii) analytical and research functions and policy advisory services; (iii) normative functions and standards and quality-related activities; and (iv) convening and partnerships for knowledge transfer, networking and industrial cooperation. Such core functions are carried out in Departments/Offices in its Headquarters, Regional Offices and Hubs and Country Offices. The Directorate, headed by a Managing Director, is responsible and accountable for the management of UNIDO’s human, financial and material resources, ensuring the capacity of the Organization to fulfil its mandate. The Directorate oversees a full range of financial, human resources management, procurements, information technology and general services to meet the needs of the Organization. Additionally, it exercises the responsibility for the ethics function in the Organization. The Directorate also provides guidance on security and safety matters and ensures the overall coordination of UNIDO’s response in this regard. The Department of Operational Support Services (CMO/OSS) is responsible for providing diverse services in support of all UNIDO activities, both at Headquarters and in the Field, comprising procurement of goods, works and services; maintenance and further development and enhancement of the ERP and IT systems; communications, inventory and records management; archives and registry; and travel, visa, transportation and shipment services. The Department is also responsible for providing buildings management services, for the benefit of all VBOs including administration of the Common Fund for Major Repairs and Replacement as well as Catering Operations. In carrying out these activities, the Department actively supports the implementation of UNIDO’s programmes and projects towards the achievement of the ISID mandate and SDG targets.

The position is located under the General Services and Logistics Division of the Department of Operational Support Services, in the Directorate of Corporate Management and Operations (CMO/OSS/GSL). The Division supports the core mandate of UNIDO through the provision of communications, inventory and records management, archives and registry, travel, visa, transportation and shipment services, as well as managing catering services at the Vienna International Center (VIC).

Main Functions

Under the supervision of the Chief, CMO/OSS/GSL, the incumbent provides the following functions: Virtual Meetings: - Provide technical and operational support to virtual meetings utilizing UNIDO standard software and hardware. This includes: a. Setting up video conferencing equipment and virtual room for different kinds of events and meetings. b. Ensuring that the equipment necessary for each video and audio conference is tested and working properly. c. Operating the relevant equipment during the conferences/meetings. d. Over-see the entire conference/meeting to ensure that all equipment is functioning properly. - Ensure that UNIDO keeps up-to-date communication equipment and devices for meeting rooms and offices. - Provide hand-on support and problem solving activities for meetings organized by UNIDO in the meeting or conference rooms. - Monitor the calendar of meeting requests and put in place proactive training materials to assist requestors of virtual meetings and users of UNIDO meeting rooms to facilitate their participations. - Cooperate closely with colleagues in the Department of Operational Support Services to monitor, maintain and support the upgrade of equipment, software and network connectivity in meeting rooms. Other Communication Services: - Assist colleagues with other online communication and delivery services such as couriers and video conferences; be focused and mindful of deadlines for processing administrative actions related to his/her areas of responsibilities; and be a team player to be able to work efficiently and smoothly with teams. - Work closely with the team to backstop the switchboard and the coordination of access and codes for virtual conferences involving multi-stakeholders; - Backstop urgent priorities as required. Minimum Requirements

Education

Completed secondary education, such as high-school diploma, is required. Secondary education in video conferencing, computing or IT-related area is is desirable. Relevant video conferencing certifications such as Polycom, Avaya, Cisco TelePresence, etc., is an asset. Credit towards total working experience may be considered on a year-by-year basis, up to maximum of four years, for a first university degree or equivalent diploma, in a field relevant to the post.

Languages

Fluency in written and spoken English is required. Fluency or working knowledge of another official UN language and/or German is desirable.

Computer Skills

Field of Expertise

• A minimum of (6) six years of working experience in the related fields of the post, is required. • An understanding of common norms and practices of professional office environment, preferably within the UN system or in a multicultural environment is desirable. • Technical experience in videoconferencing endpoints, gateways, and multipoint control unit products such as Avaya, Cisco, Polycom, etc.is desirable. • Technical experience in video conferencing software such as: Zoom, MS. Teams, Avaya Solution, WebEx, etc. is required. • Experience in using service management tool such as TopDesk, Jira, Service Now is desirable. • Computer operation and concepts highly desirable. • Proficient use of Microsoft Office (Outlook, Word, Excel).
