The Norwegian Refugee Council USA (NRC USA) is looking to hire an experienced project management professional to support a USAID-funded grant for one year (with possibility for extension) in the Washington DC office. The project is part of an initiative to support humanitarian assistance in the most complex operating environments.

NRC USA manages a large and complex global grant with activities around the world, which includes research, frontline negotiations training, advocacy, events, and more. We need an experienced and detail-oriented Project Coordinator to help make our project run smoothly and to amplify our achievements.

Roles and Responsibilities

The Project Coordinator will play a key role in implementing a USAID-funded grant to improve humanitarian access around the world.

The position will be responsible for:

1. Procurement: managing all paperwork in relation to contracting logistics for: consultants, (recruitment, payment, evaluation, etc.) and procurement (i.e. software licenses, ad hoc services, A/V rental equipment, etc) in accordance with NRC and USAID policy. Develop independent relationship with NRC Logistics team.

2. Project support: track expenses and budgeting, reporting deadlines, donor engagement, and administration of the project.

3. Compliance: ensure that project documentation is well-organized and maintained, particularly documents of monitoring and evaluation activities, such as sign-in sheets or evaluations. Ensure that HR handbook, Finance Handbook and USAID protocols are observed.

4. Event management: serve as point of contact to speakers/panelists; manage venue rental; provide travel, accommodation, and visa support. This includes setting up regular team meetings, large conferences in Washington DC, and trainings in field locations where NRC operates.

5. Promotion and communication: design internal and external communications materials to support the grant deliverables. This may include Canva-designed fliers, videos, PowerPoints and more.

6. Research support: desk research, copy-editing, data analysis.

7. Note-taking: from time to time, we may need support drafting minutes or key talking points.

The Project Coordinator role is well-suited for individuals who thrive in a team setting and who are dogged in their pursuit of well-organized initiatives. This is a great position for those just out of a master’s program who are looking to explore careers in the humanitarian sector and would like the opportunity to network and travel. You will have the opportunity to work on and/or learn more about: frontline humanitarian negotiations, capacity building and adult learning, advocacy and policy, government engagement, rights of refugees and internally displaced persons, fundraising and non-profit management, conflict analysis, and more.

Note: this role is full time and based in the NRC office in Washington, DC. Though travel for this project is infrequent, the successful candidate must be able to travel internationally for up to 2 weeks at a time. The location of the travel may include dangerous destinations.

Generic Responsibilities

1. Adhere to NRC policies, tools, handbooks and guidelines;

2. Assist with the implementation of the support function portfolio according to plan of action;

3. Prepare and develop status reports as required by management;

4. Ensure proper filing of documents;

5. Promote and share ideas for improvement of the support function;

Specific responsibilities

· Familiarize yourself with NRC’s finance, HR and procurement handbooks to manage logistical elements of recruitment of consultants and ad hoc procurement.

· Track project deliverables, including attending and taking notes at regular progress meetings, and collecting “success stories” and descriptions of project activities.

· Support budget execution – for example, explaining methods of per diem reimbursement to traveling staff, following up with staff after a training to get copies of receipts, or supporting payment to venues after events.

· Manage documentation and information management: file organization on Sharepoint, documenting team meetings and organizing files and relevant reports, as well as photos from field events.

· Support travel – liaise with project staff on how to book flights and criteria for eligibility, as well as accommodation, visas, venue hire, etc.

· Create externally facing products to promote project activities: fliers, videos, power-points and more. Consider different audiences and how our project can support their needs while increasing our exposure and maintaining consistent branding. For example: sharing photos from training, developing videos and posting to social media, etc.

· Manage internally facing communications to promote project: regular Workplace updates, team communication, etc.

· Research support: conduct desk research on humanitarian topics, including reading and summarizing current reports.

· Data cleaning and analysis: support the data collection from our field colleagues, including analysis and identification of conflict trends or themes affecting humanitarian work.

· Event support (DC): identify potential venues and prices, complete procurement paperwork to pay venue rental, be on-site during events, manage A/V requirements, liaise with speakers to schedule.

· Event support (field): communicate training details to participants, support travel booking and accommodation, be on-site to manage event, including catering, A/V and presentation needs, etc.

· Represent NRC in occasional humanitarian meetings, take notes or share talking points.

· Support writing of donor communications and project midterm reports.

· Work closely with Washington DC team, global humanitarian access team, and relevant finance, procurement, or admin colleagues.

 

Competencies

· Minimum 2 years’ experience in project management or monitoring and evaluation, including contract management and procurement

· Master’s degree in related field (or bachelor’s with equivalent work experience)

· Computer skills (common Microsoft Windows and Office applications)

· Fluency in English required, second language (particularly one used in a country of NRC operation) desirable.
