Background

UNDP Country Office in Mauritius and Seychelles partners with both countries in the area of inclusive development, environment protection, climate change adaptation and disaster risk management. Capacity building for the public sector and gender mainstreaming will remain key areas of intervention.


The Driver/Clerk will provide reliable and safe driving to the UNDP Staff and other high-ranking UN officials and visitors ensuring the highest standards of discretion and integrity, sense of responsibility, and excellent knowledge of protocol and security issues. The Driver will have to demonstrate a client-oriented approach, high sense of responsibility, courtesy, tact and the ability to work with people of different national and cultural backgrounds.


Under the overall guidance and direct supervision of the Programme Analyst in UNDP in Seychelles the Driver/Clerk will provide driving services to the operations and programme staff in UNDP in Seychelles, Consultants and Experts and UN staff on mission.
 

Duties and Responsibilities

Summary of Key Functions

  • Provision of reliable and secure driving services;
  • Proper use of vehicle;
  • Day-to-day maintenance of the assigned vehicle;
  • Maintain and ensure availability of required documents;
  • General Administrative and logistics support;
  • Any other related duties that may be assigned.

Provision of reliable and secure driving services

  • Driving office vehicles for the transport of authorized personnel only but this can include visiting Officials (Government, UN, Embassy Officials, etc.);
  • Ensuring that all passengers wear their seat belts at all times in the vehicle;
  • Enforcing the no smoking policy in the vehicle;
  • Facilitating immigration and customs formalities as required;
  • Escort: meet high-level official personnel at the airport and facilitate VIP missions etc;
  • Collecting and deliver mail/correspondence to Government Offices/Embassies /Commercial Establishments/UN Offices etc. Interact with Finance and Administration staff;
  • Following strictly all rules and regulations in relation to the use and management of UNDP vehicles;
  • Ensuring that all immediate actions required by rules and regulations are taken in case of involvement in accidents.

Proper use of vehicle

  • Keep abreast of traffic rules and regulations as well as road security and safety awareness to enable safe on time arrival for meetings;
  • Ensure cost-saving by driving responsibly;
  • Maintain daily vehicle logs, daily mileage, gas consumption, oil change, servicing, greasing, repairs and oversee that other drives do the same;
  • Prepare and maintain data of the vehicle maintenance plans and reports.

Day-to-day maintenance of the assigned vehicle

  • Ensure that the official vehicles are kept clean and is always in good working order;
  • Provision of inputs to preparation of the vehicle maintenance plans and reports;
  • Keep track of insurance and applicable tax formalities;
  • Make minor repairs and make arrangements for major repairs;
  • Change oil, check tires, lights horn, clutch and brakes and wash car regularly;
  • Ensure that vehicles comply with Minimum Operating Security Standards (MOSS).

Maintain and ensure availability of all required documents/supplies

  • Maintain and ensure availability of all required documents/supplies including vehicle insurance, vehicle logs, office directory, and map of the city/country, first aid kit, and necessary spare parts in the assigned vehicle.

Provide general administrative and logistic support as needed

  • Assist office staff in filing, photocopying and maintaining required records;
  • Registration and dispatch of outgoing communications, including pouch and follow-up distribution. Prepares the summary of enclosure forms and necessary documents and maintains the file on pouches received to ensure that all bags are accounted for;
  • Assist in the mailing and distribution of publications and payment of bills, as required;
  • Assist with processing of travel/DSA and logistics using web based financial software;
  • Act as a Security Warden for UNDP in Seychelles;
  • Assist with the solicitation of quotations and invoices, as requested by the Supervisor;
  • Assist in the administrative support to organization of CO events and functions as necessary;
  • Assist with arrangements for security clearances when required;
  • Assist with periodic checks of CO entrances and exits as per Fire Safety Guidelines.

Any other related duties that may be assigned.

Required Skills and Experience

Education

  • Completion of Secondary Education (O Level) is required;
  • Formal driving qualifications from a recognized transport institution.

Experience   

  • Minimum 3 years’ work experience as a driver; safe driving record;
  • Valid Driver’s license with a clean driving record is required;
  • Skills in minor vehicle repair and mechanics;
  • Familiar with local routes and destinations with Seychelles;
  • Excellent familiarity of the national driving rules and regulations;
  • Knowledge of Seychelles protocol and safety and security requirements;
  • Experience with an international organization;
  • Experience in office filling and other administrative activities is an advantage;
  • Ability to work with computer and office software packages (MS Word, Excel, etc.) and knowledge of spreadsheet and database packages;
  • Excellent interpersonal and communication skills;
  • Team-working, task management, and organizational skills;
  • Flexibility, autonomy, integrity, reliability and dependability essential;
  • Ability to remain calm in stressful situations;
  • Willingness to work beyond normal office hours.

Language Requirements

  • Proficiency in written and spoken English;
  • Working knowledge in French and Creole is desirable.
