Org. Setting and Reporting

This position is located in the Audit Response and Boards of Inquiry Section, Office of the Under-Secretary-General, Department of Operational Support. The Staff Assistant reports directly to the Chief of the Audit Response and Boards of Inquiry Section.

In line with the Secretary-General's management reform effective 01 January 2019, DOS will focus on operations, services, transactions and surge support to entities in weak environments. It will service and support the entire Secretariat - at Headquarters, the regional commissions and offices away from Headquarters and in the field.

Responsibilities

Within limits of delegated authority, the Staff Assistant will be responsible for:

- Providing administrative and clerical support through data entry from oversight reports
- Record keeping and development of an archiving schedule
- Ensuring that the electronic databases of the Audit Response and Board of Inquiry Section are accessible to field missions and relevant Headquarters offices through a managed password system;
- Assigning passwords to users and maintaining an index of users for easy reference
- Maintaining a library of reference documents that could assist Audit Focal Points in DOS offices and service centres, as well as Board of Inquiry Units in field missions and relevant Headquarters offices
- Providing administrative and clerical support by initiating and drafting routine correspondence, processing incoming and outgoing correspondence (logging, distributing, dispatching and maintaining all Board of Inquiry and audit-related files)
- Preparing notification memoranda announcing audit visits to DOS offices and service Centres.
- Providing administrative support to the UNHQ Boards of Inquiry members.
- Arranging and taking notes at audit entrance and exit conferences.
- Populating and updating recommendation tracking databases.
- Tracking and following up with DOS offices and service centres on their response to interim and final reports of the oversight bodies
- Updating the audit files with responses and supporting documentation received
- Consolidating the responses in line with the prescribed format
- Assisting in proof-reading and editing outgoing correspondence

Education

High school diploma or equivalent.

Work Experience

A minimum of five years of progressive experience in general office support and related area is required.
Experience in supporting high level officials is desirable.
Work experience in an international organization or within the United Nations system is desirable.
Experience in the use of databases is desirable.
Experience in working with an Enterprise Resource Planning Software (ERP) system is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Knowledge of another official United Nations language is an advantage.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by a competency-based interview.

Special Notice

Appointment or assignment against this position is for an initial period of one year.

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules.
