  1. Role and responsibilities

The purpose of the assistant position is to assist the logistics officer in day to day procurement in logistics functions responsibilities. The logistics assistant is responsible for facilitating the procurement aspects of NRC’s logistic operations. Working closely with Program, Administration, and Finance, the logistics Assistant is instrumental in supporting program activities through his/her services.

 

Generic responsibilities (max 10)

These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work and Development plan.

  1. Ensure adherence with NRC policies, tools, handbooks and guidelines
  2. Implement delegated support function portfolio according to plan of action
  3. Prepare and develop status reports as required by management
  4. Ensure proper filing of documents
  5. Promote and share ideas for improvement of the support function
  6. Travel to Field sites in the Area of Responsibility to conduct and facilitate all aspects to procurement processes.
  7. Travel to Field sites in the Area of Responsibility to delivering quotations to suppliers, receiving quotations from suppliers, deliver purchase orders and contracts for signing to suppliers/ contractors.
  8. Daily coordination of NRC procurement activities;
  9. Cooperate in conducting and coordinating all bid committee processes and prepare all contracts according to policy.
  10. Assist program and support personnel in regular procurement planning meetings.
  11. Has a full understanding of NRC logistics policies and formats. Assists, as needed in training staff on these policies;
  12. Assists staff as needed on creating clear and understandable purchase requests and other documentations;
  13. Collects quotations and bids from the market for PR-s as assigned by line manager – as per NRC standards and formats;
  14. Interact with contractors, in coordination with the program & Logistics;
  15. Prepare the required documentation of supplies and transactions are completed to NRC standards.
  16. Assist in the maintenance of thorough logistics files as outlined in the NRC policy; 
  17. Assist the program/logistics management and office staff with procurement activities, as required;
  18. Assists program/logistics management with asset management. Identify assets during the course of procurement and notify the logistics officer or designated person on receipts of assets.
  19. Assists on managing NRC logistics database and reports.
  20. Other duties as assigned.

 

Qualifications:

  • B.A in international business.
  • Minimum of 1 year relevant experience.

Education field:

  • Degree in a relevant business field is desired. Minimum 1 year experience in supply chain management; international business or related field.

Education level:

  • College / University, Bachelor's degree.

Language:

  • Arabic
  • English

Context/ Specific skills, knowledge, and experience:

  • Strong organizational skills;
  • Ability to interact effectively with international and national personnel.
  • Good computer skills on MS Office programs, especially in MS Excel.
  • A demonstrated ability to multi-task and process information into action as to not delay program activities.
  • A clear understanding of procurement ethics and donor compliance is essential.
