Under the overall supervision of the Head, DLTRS, and in close coordination with the Documentation Officer and the Documents Controller, the incumbent will:

Print Room Operation

  1. Print on demand all necessary documentation for IMO meetings and all other print requests;
  2. Work out-of-hours independently, operating printing machines, taking timely decisions on document and printing management, frequently under time pressure;
  3. Provide first level technical support to printing machinery and liaise with engineers and suppliers as appropriate, to ensure the smooth running of the Print room;

Print Room Management

  1. Order supplies and parts, schedule machinery maintenance needed to ensure continuity of printing operations, and calculate and maintain optimal stock levels;
  2. Provide technical specifications and contribute to evaluation of tenders and contracts for printing machinery and supplies;
  3. Advise the Head on parameters for printing services to guarantee their cost effectiveness, liaise with Procurement Services on key supplies;
  4. Liaise with relevant IMO Divisions involved in meetings and seminars to ensure efficient distribution of documents (Working Papers, briefs, information materials, special requests);
  5. Estimate printing figures for each meeting based on the meeting registration system (OMRS) to ensure PaperSmart distribution of documents;
  6. Maintain close coordination with the documentation team for efficient delivery of work across the document production chain;
  7. Process and record print requests on the document management system (DCPMS) and print from IMODOCS, in cooperation with the Documentation Officer and independently during night shifts/early shifts;

Meeting preparation and document distribution

  1. Organize distribution of pre- and in-session documentation to delegations/Member States in cooperation with the DLTRS team and in line with the set priorities.
  2. Distribute documents to the Secretariat, including preparation of sets for the podium and batch prints for relevant stakeholders according to their specific requirements;
  3. Distribute meeting documents and statements to interpreters, prior and during each meeting.

Other

  1. Supervise and train other team members to assist in printing during peak periods;
  2. Undertake other duties connected to the work of the Section as may be assigned.
