About the job

The Finance Officer forms part of the Support Service team of the DRC Geneva office and reports to the Regional Finance Coordinator and the Head of Support Services (HoSS). The Finance Officer performs all tasks related to the wider scope of finance related tasks. The Finance Officer also provides support to any other relevant task to support the Geneva Office.

Your main duties and responsibilities will be:

DRC Dynamics ERP System

  • Evaluation of capacities in Geneva office in close collaboration with the Head of Support Services
  • Apply reports and data analytics from DRC Dynamics to improve overall performance
  • Identification and follow up of problems at Geneva level and provide trainings on different ERP functions related to finance and projects modules.
  • Integrate offline data in the system

Financial Management

  • Link closely with the HoSS on monthly cost allocations in DRC Dynamics.
  • Support and ensure regular follow up on finance, budget, and spending.
  • Provide the HoSS with monthly/quarterly financial indicators and reports
  • Provide technical assistance to the finance team to improve in the financial operations, and awareness of accounting and donor requirements.

Staff Expenses

  • Support staff in raising travel requests, expense reports & cash advances in MS Dynamics in line with DRC Policy
  • Ensuring correct use of accounting distributions, categories and Per Diem rates
  • Verify receipts prior to posting & paying expenses.

Accounting

  • Ensure sufficient funds available for costs on a monthly basis
  • Post and pay staff expenses, purchase invoices, office costs etc. in MS Dynamics
  • Ensure sufficient documentation for accounting & audit purposes
  • Monthly reconciliation of Bank, Credit Card and Petty Cash
  • Assist Regional Finance Coordinator in reviewing partners financial reports (subgrants).

Auditing

  • Prepare & provide supporting documents for donor-required audits 
  • With HQ, Supply Chain & HR, ensure compliance with GDPR & Swiss Data Protection regulations

 

About you

To be successful in this role we expect you to have at least X years of relevant work experience demonstrating some / all of the following:

  • At least 3 years' experience in relevant field
  • Experience in a similar role in an international NGO
  • Understanding of the countries in which DRC operates and sensitive to the cultural context
  • Interest and dedication to administrative procedures
  • Accuracy and effectiveness in all aspects of work
  • Absolute and proven reliability in financial matters
  • Team player
  • Ability to work independently
  • Good written and oral communication skills

Essential

  • Experience working in an ERP system, including supply chain, finance, and HR systems
  • Excellent Word and Excel skills
  • Full professional proficiency in English

Desirable

  • Desirable: experience working with Microsoft Dynamics 365
  • Good proficiency in French

Type of contract: local Swiss contract, open ended, depending on funding at 50%

Band: H – Officer level

Start date:  ASAP - December 2021

The position is placed in Geneva, Switzerland with the Geneva Representation office (dependent on national Covid or DRC specific restrictions, any staff member is expected to be able to work from the office while home-office is a possibility but rather the exception).
This position will be placed at Employment Band – H. DRC offers a competitive salary based on qualification and experience between 5.100- 5.800 CHF gross. DRC does not pay any additional allowances (e.g. schooling, housing etc.). Following Swiss regulations DRC offers accident and travel insurance. DRC staff pay tax and social security and health insurance according to Swiss law.
