Based in Paris, Business at OECD (BIAC) is the officially recognised business voice to the OECD conveying business perspectives and expertise to policymakers on a broad range of global economic governance and policy issues. Our members are the leading business and employers organisations in OECD countries. We also include business organisations in selected non-OECD member countries, as well as international sectoral business organisations.

Business at OECD is looking for two Administrative Assistants who will carry out a wide range of logistical, administrative, Information Technology Systems (IT) and communications support. They will also assist Policy Managers and Directors in the administration of their policy work.  They will report to the Business at OECD’s Senior Director overseeing administrative staff.

Main Responsibilities

Administrative Assistance and front office management

  • Filter telephone calls, answer regular enquiries (phone, e-mail, in person, virtual) in English and French;
  • Welcome and assist visitors, e-visitors, and high-level representatives for in-person and virtual meetings.

Policy groups assistance

  • Support the diary management and scheduling of meetings of selected Policy Directors and Managers;
  • Set-up face-to-face, virtual and hybrid format meetings and related events, for Business at OECD policy groups, including to provide logistics support for meetings and events in a timely manner, working closely with Policy Directors and Managers;
  • Register participants for Business at OECD and OECD sessions, including liaison with OECD counterparts;
  • Provide logistical and administrative support to Business at OECD members relevant to their engagement in policy group activities;
  • Update the Business at OECD database with business delegates’ information;
  • Make reservations and coordinate registration for face-to-face events (lunches, dinners, etc.) and virtual events that require registration and liaison to ensure all business delegates are duly signed up;
  • Regularly maintain the relevant policy groups sections of the Business at OECD website and create dedicated webpages with documents and resources for policy group meetings.

High-level meetings support

  • Support the preparations for annual high-level meetings.

IT support

  • With oversight of the relevant Director, manage the Information Technology infrastructure and contracts for Business at OECD –.including implementation and updates of the Business at OECD Database.

Office Management

  • With oversight of the relevant Director, liaise with vendors and suppliers, maintenance of office equipment and related contracts, manage needed office supplies, furniture and equipment.

Other duties 

  • Coordinate with other Assistants, providing support and vacation replacement when necessary (including assistance with cross-cutting issues, member relations, IT support, office coordination, contract management, etc.);
  • Carry out other related tasks as required.

Ideal Candidate Profile

Educational Background

  • Very good secondary level of education, preferably post-secondary.

Professional Background

  • Proven experience as an administrative assistant;
  • Experience in an international business environment and/or business associations is a strong asset.

Tools

  • Excellent command of Microsoft programmes (Word, Excel, PowerPoint, Outlook, Teams);
  • Excellent IT skills and knowledge of IT systems, with a strong ability to learn and use digital tools (such as for webconferencing (Zoom), website and database management programs (WordPress, etc.), cloud solutions, and others).

Communication

  • Excellent interpersonal skills, teamworking, and client/member focus;
  • Ability to multi-task and to thrive in a fast-paced daily working environment;
  • Strong attention to detail, including to support branding and communications efforts;
  • Ability to follow a steep learning curve;
  • High motivation to excel in an administrative capacity.

Languages

  • Fluency in both OECD official languages (English and French), written and spoken,with a third language as a plus.

Contract Duration 

  • Two year fixed-term appointment, with the possibility of renewal, starting as soon as possible.
