Job Overview: The Volunteer and Donations Coordinator is the community engagement focal point for each office and serves a critical systems support role connecting the talents & resources of the community to meet client needs & programmatic compliance. This role coordinates volunteer & intern support, financial & in-kind donations, as well as communications and outreach. The coordinator will recruit volunteers & interns and design effective volunteer opportunities to support core IRC programming while maintaining donations through procurement, management, and distribution of in-kind contributions from our community of supporters.In addition to volunteer and donations coordination, this role is essential in supporting the overall messaging of the office, including creating branded visuals and content for Facebook, the website, and newsletters. The Volunteer and Donations Coordinator will coordinate external community engagement events and support corporate relations activities.

Major Responsibilities:

Volunteer Recruitment & Management:

·Recruit, screen, orient, train and match individuals and groups for volunteer and intern placements through diverse strategies and developing university, faith-based and other community organization partnerships; with appropriate service opportunities in line with IRC national volunteer guidelines.

·Collaborate with staff to craft and maintain accurate, up-to-date service descriptions for all volunteer & internship opportunities.

·Present on-boarding orientations and assist with administrative needs for all new recruits.

·Responsible for developing and running effective programs for volunteer support of core IRC programs by collaborating with direct service staff and offering logistical support in alignment with IRC program objectives.

·Manage the Salesforce volunteer database and regularly report on data tracking systems.

·Record and report all volunteer time and keep accurate, appropriately documented electronic and paper records of service time.

·Maintain individual files on all volunteer and intern placements, ensuring required documentation is complete, accurate and on file.

·Recognize volunteers and their service through appreciation events and communications.

·Provide ongoing support to volunteers/interns throughout their service period.

Donations Coordination & Development Support:

·Pursue, track, and report monthly on in-kind contributions.

·Oversee storage and inventory of in-kind donations on- and off-site.

·Responsible for developing donation allocation strategy and coordinating distribution to support office-wide needs and ensure match is generated & tracked for grant compliance.

·Collaborate with staff in match generating programs to allocate and distribute in-kind donations.

·Responsible for monthly CIK Reports tracking the value of volunteer hours and in-kind donations.

·Responsible for ensuring integration of activities into IRC’s new business database Integra which will include system development/adaption.

Communications & Outreach:

·Conduct outreach to community groups and faith-based organizations to secure support for volunteer opportunities, financial & in-kind donations, community sponsorship, and other special campaigns.

·Represent the IRC at career fairs, fundraising events, and other community outreach opportunities.

·Organize fundraisers and community outreach events to increase awareness and support of the IRC.

·Assist NorCal Development Director in organizing and executing corporate engagement events.

·Manage social media strategy and content ensuring regular posts of originally branded relevant information, resources, and opportunities; and complying with any grant requirements for sharing information on Facebook.

·Manage office website content for volunteer and internship opportunities, in-kind donations, and monthly articles for NorCal newsletter.

Staff Support:

·Work in tandem with the Program Managers/Coordinators to identify needs and develop intern and volunteer recruitment plans to support achievement of program goals. This includes but is not limited to: Reception and Placement, Economic Empowerment and Match Grant, Immigration, Intensive Case Management, Anti-Trafficking, and New Roots Programs.

·Train and support staff to work effectively as volunteer managers and interact cooperatively with volunteers.

·Participate in leadership team meetings and act as a lead for all Community Engagement efforts.

·Collaborate effectively with Director and provide input on all Community Engagement efforts.

·Participate in IRC Communities of Practice and other networking and professional development opportunities in the network.

·Other related duties as assigned.

Key Working Relationships:

Position Reports to: Site Director and the Development & Communications Manager for Nor Cal
Position directly supervises: Interns and volunteers for Community Engagement, Volunteer Coordination, Donations Outreach & Support, Social Media & Online Content.Other Internal and/or external contacts:

Internal: Internal direct service program managers, staff, Development Director

External: Ethnic community and faith-based organizations, local businesses, and corporations.

Job Requirements:

·Undergraduate degree required. Preferably with an emphasis in communication, non-profit management, human resources, international development or a relevant field of study.

·2+ years of experience in volunteer services and/or volunteer management/coordination.

·Excellent Microsoft Office skills and ability to learn new computer applications rapidly.

·Expertise in program management and human resource management principles and experience managing diverse teams preferred.

·Demonstrated success working and communicating effectively in a multi-cultural environment.

·Strong communication skills, both written and verbal.

·Flexible and able to handle pressure and competing priorities well.

·Experience developing and providing orientations and trainings including comfort with public speaking and facilitating meetings.

·Strong organizational skills in a complex, multi-tasking environment and the ability to manage multiple projects and deadlines.

·Excellent interpersonal communication skills; ability to communicate effectively and diplomatically with current and prospective donors and volunteers, partner agencies, multi-cultural clients and colleagues on all levels.
