The Language and Documentation Services Division (LDSD) is seeking to fill a position of Desktop Publishing (DTP) Operator in the Documentation Management, Monitoring and Production (DMMP) section. 

This is a fixed-term contract funded through the regular budget. The duration will be two years with the possibility of extension.

The Language and Documentation Services Division (LDSD) ensures that WTO documents, publications and other materials are available in the WTO's three official languages — English, French and Spanish — both in hard copy and in electronic form. To achieve this, the Division operates in two complementary areas:

  • Language Services: for translation management of linguistic assets and technology and other such services.
  • Documentation Services: for document management and production including event and graphic design, and the electronic, print and physical dissemination of documentation and publications.

Under the supervision of the DTP Technical Lead, the key accountabilities of the incumbent will include the following:

1. Assist the DTP Technical Lead in the day-to-day distribution of pre-processing and post-processing tasks (for example, preformatting originals, converting formats, templating, formatting-layouting target files, among other tasks)  necessary for all types of linguistic and document services provided by LDSD.

2. Ensure that deadlines are met by monitoring the work distributed to the various members of the team or subcontracted to external service providers;

3. Perform the assigned tasks in accordance with the standards and procedures in force in the Section and respect deadlines;

4. Prepare files for outsourcing and communicate with external service providers while respecting internal section protocols;

 5. Evaluate the work carried out by external pre-treatment and post-treatment service providers, and perform or distribute technical quality control tasks among internal resources;

6. Prepare files in all accepted formats for translation (pre-processing) while respecting LDSD's internal preprocessing procedures;

7. Carry out quality control tasks for the proofreading, layouting and formatting of the translated files in all formats accepted by LDSD by following the post-processing procedures of the Section;

8. Provide training and technical support to problems that arise during the execution of any language and documentation service and seek possible solutions whenever a new problem arises (with documents in various formats such as HTML and/or XML files);

9. Maintain the Section knowledge bases and contribute to the development and implementation of procedures and areas for improvement and optimization and to the sharing of good practices (for example, writing articles on specialized subjects concerning the technical preparation of files, layout and formatting activities);

REQUIRED QUALIFICATIONS

Education:

Completion of secondary education. A certificate in publishing and editing or additional studies in another area related to the nature of the job, such as translation and language technologies, document engineering or localisation, would be an advantage.

Knowledge and Skills:

Technical Knowledge and Skills:

Advanced knowledge of MS Office applications.

Basic knowledge of XML-based publishing, editorial and typesetting tools (eXtyles, Indesign,).

Ability to deliver training to specialized audience such as authors, translators and publishing staff on best practices in layout, formatting and publishing.

Knowledge of quality control and assessment methodologies in the area of publishing is preferred; knowledge of equivalent for translation is desirable.

Analytical and drafting skills.

Aptitude for documentary research.

Work Experience:

Minimum 5 years' relevant experience, including demonstrated professional experience in text-processing, editing/proofreading and document management. Experience in DTP and/or XML-based publishing would be considered an advantage.

Languages:

Excellent knowledge (at a level corresponding or equivalent to a minimum of C1 according to the Common European Framework of Reference for Languages (CEFR) in one of the official languages of the WTO. Intermediate knowledge of another working language of the WTO, to the extent necessary to perform the duties of the job (equivalent to a minimum of B1 according to the CEFR), is also required.
