The position holder will offer administrative support to ensure that the project achieves its goals and objectives.

The duty station will be in Nairobi, Kenya.

Duties and Responsibilities:

  • Administrative support
    • Support the AVISA Project manager in communicating with AVISA project partners
      as well as coordinating events and meetings with partners.
    • Provide administrative support to AVISA project staff, including but not limited to, recruitment of local/field staff, expense reimbursements, travel logistics, meeting logistics, procurement, etc.
    • Support the project manager in organizing project events.
  • Financial Support
    • Support in the development and management of AVISA sub-grants.
    • Review and verify requests for advances, payments and expense reports for project partners and staff.
    • Design user-friendly expense reporting tools and support in collation of fund utilization certificates.
  • Project Monitoring and Reporting Support
    • Support project documentation archive and knowledge management.
    • Liaise with project partners to ensure timely development of coherent plan of work and budgets.
    • Support in monitoring realistic execution and delivery of project outputs against target milestones.
    • Support the project manager in collating technical and financial reports from respective partners at agreed frequencies for timely submission to the donor.
  • Other Responsibilities
    • Maintain an internal communication mechanism among project partners and Regional office administrative management.
    • Carry out any other duties to reinforce effective and efficient project administration as may be assigned by Supervisor.

Requirements:

  • Bachelor’s degree in Project Management, Knowledge Management, Business Administration, Monitoring and Evaluation or any other related field.
  • 2. 5 years with good knowledge of theories, practices, and procedures in project partnership, financial, monitoring, and knowledge management.
  • Proficiency in written and fluency in spoken English is a MUST.
  • Proficiency in standard software such as minor programming using macros, mail merge, designing customized reports, developing audio visual presentations and advanced skills in Windows Operating System, LAN, and Internet.
  • Work experience in Program/Project Management and Administration.
  • Good computing skills; EXCEL, MS-Word, PowerPoint, MS-Project, Web Management etc.
  • Ability to work respectfully and inclusively in a diverse, multicultural, multidisciplinary work environment.
  • Exhibit the following competencies: Client Orientation, Critical Thinking, Communication, Problem Solving and Decision-Making and Teamwork.

Terms of Offer

This is a Locally Recruited Staff (LRS) position. ICRAF offers competitive remuneration in local
currency, commensurate with skills and experience. The appointment will be for a period of 2 years, inclusive of a 6-month probationary period, with the possibility of extension contingent upon performance, continued relevance of the position and available resources.
