CHAI launched its Viral Hepatitis program in 2015 with the goal of catalyzing public sector HCV screening and treatment programs in low- and middle-income countries (LMICs). Following the launch of hepatitis C programs in seven countries (Cambodia, India, Indonesia, Myanmar, Nigeria, Rwanda, and Vietnam), CHAI is additionally applying the techniques it has used successfully to improve access to HIV/AIDS and malaria treatment in developing countries to aim for the elimination of hepatitis C and the achievement of a hepatitis B-free generation. The program continues to focus on lowering the cost of diagnosis and treatment, while supporting ministries of health to implement smart, data-driven strategies for scaling up access to services. Globally, the team interacts with donors, manufacturers, multilateral agencies, non-governmental and community organizations, and other partners to identify and implement necessary market-based and program interventions. In focal countries, CHAI’s work ranges from helping governments select and source the right medicines and diagnostics, training health care workers in screening and treatment, designing the right service delivery mechanisms, implementing monitoring and evaluation systems, and mobilizing financing for program implementation.

 

Summary of Position

 

As part of the Hepatitis Team, the Operations Associate will support the scale-up of CHAI’s hepatitis program, with a focus on program operations, knowledge management, communications and coordination support. Some travel (up to 15%) will be required for this position. Location for this position is flexible pending discussions and leadership approval.

 

We are seeking a highly motivated individual with strong organizational abilities and communication skills. The candidate must be self-driven, entrepreneurial, adaptable and have a high level of comfort with ambiguity. They must be self-assured, a fast learner, resilient, and a strong team player. 

Responsibilities

Manage development and implementation of team operations priorities (30%)

  • Design and lead processes to gather inputs from hepatitis team on team communication and organization, hepatitis community building, feedback culture and professional development, team meetings and wider CHAI processes 
  • Translate inputs into an annual hepatitis operations work plan and identify plan of action (i.e. who, when, how) to take forward priorities, and support implementation of activities
  • Collate best practices / lessons learned on team operations from other CHAI teams to feed into hepatitis team operations
  • Coordinate operations working group discussions to review progress towards work plan
  • Ensure appropriate documentation, updates, and dissemination of team operations processes and resources

Facilitate team knowledge management and process improvements (30%)

  • Identify and implement initiatives to streamline and improve operations and coordination processes (including opportunities to automate and explore technology solutions)
  • Lead program knowledge management, facilitating processes to keep shared box folders and program resources / toolkits up to date
  • Develop and manage implementation of Hepatitis Team’s communication strategy (highlights for annual report, program website, blog / social media posting etc.)
  • Coordinate, draft and disseminate internal bi-monthly program newsletters, with input from team
  • Support internal communication and knowledge sharing, including circulation of useful partner webinar information, dissemination of cross-country materials and global developments

Lead hepatitis team coordination (25%)

  • Manage scheduling and coordination for program and leadership calls and meetings
  • Facilitate weekly hepatitis team calls
  • Coordinate tracking of program deadlines for calls, conferences and meetings
  • Plan logistics and agenda for Hepatitis summits and meetings
  • Compile notes during meetings and calls and support drafting of meeting reports, as needed
  • Develop and maintain administrative resources to facilitate efficient operations across the program (contact and distribution lists, team calendars, contact information etc.)

Provide other cross-program support, as needed (15%)

  • Support and coordinate collection, review, and compilation of cross-country program data for internal and/or external documentation, updates, and reporting
  • Manage and maintain up to date country resources and reference files in the country resource toolkit
  • Support proposal development and resource mobilization efforts
  • Support Director with other operations task related to HR, contracts and finance, as requested
Qualifications

Required

  • Bachelor’s degree plus a minimum of 4 years of professional work experience in a fast-paced, demanding enviroment
  • Excellent written and verbal communication skills, including the ability to draft and edit compelling emails, presentations, and reports
  • Strong interpersonal and collaborations skills, especially in cross-cultural settings and diverse work environments
  • Detail-oriented with strong organization skills
  • Ability to absorb, synthesize and organize complex processes, information and data
  • Ability to multi-task and to be effective in high-pressure, time-sensitive situations
  • High level of proficiency in Microsoft Office, particularly Outlook, Excel, PowerPoint and Word
  • Fluency in English, in both written and verbal communications
