Background/IRC Summary:

The IRC has been operating in Thailand since 1975 and currently provides assistance to displaced persons in Tak, Kanchanaburi, Ratchaburi and Mae Hong Son provinces

Job Overview/Summary:

The Program Support Officer reports to the Senior Awards Management Coordinator and works closely with members of the Programs and Awards Management Unit. S/he will be primarily responsible for coordinating and organizing project cycle meetings for IRC Thailand’s grants. The project cycle meetings are normally held on a quarterly basis and mainly involve various IRC departments including grants, programs, operations, finance, HR, and supply chain. The incumbent will be responsible for maintaining records of and filing documents related to grants and programs. Organization, coordination, and initiative are all key attributes to this position as it often involves independently solving unique issues as they occur while managing competing deadlines.

The Thailand country program currently manages a large portfolio of assistance in the sectors of Health, Environmental Health, Protection, Women’s Protection and Empowerment, and Livelihoods for refugees and displaced people from Myanmar who are residing in border refugee camps in Thailand. The Programs and Awards Management Unit manages grants and contracts awarded from the US Department of State/Bureau for Population, Refugees and Migration (PRM), the Australian’s Department of and AusAID, among others.

Major Responsibilities:

• Track and maintain accurate records of deadlines for donor reports
• Organize and remind timely submission of upcoming donor reports to relevant IRC departments
• Disseminate a submitted version of donor reports to relevant IRC departments
• Organize and maintain records of donor reports, grants agreements, and other relevant documents
• Assist with preparing progress reports for the Ministry of Interior and Ministry of Labor, Thailand.
• Organize and prepare for project cycle meetings including note taking with support from the Senior Awards Management Coordinator.
• Track budget vs. actual spending of grants monthly; track spending and budget allocations report to the respective budget owner
• Assist Country Director and Deputy Director of Programs with travel requests and meetings by coordinating with relevant IRC departments to facilitate their travel plans and requests
• Other duties as assigned
