Accountant (Account Payable – Supplier)

Overview

The accountant will be responsible for processing payment of invoices from suppliers and maintenance contractors. Key result areas: payment of invoices from vendors/suppliers and maintenance contracts are processed on time, accounts payable and advances to suppliers are analyzed and maintained regularly, the schedule of monthly accruals is maintained and updated, and vendor/supplier inquiries are promptly answered.

Duties and responsibilities

1.Process supplier payments

  • Review and journalize all invoices from vendor with and without purchase orders and ensure complete documentation.
  • Perform Journal Imports for all purchase orders/ensure correct matching of invoices to purchase orders and good received notes.
  • Coordinate issues related to purchase orders with Purchasing Unit.
  • Review and post all prepayments to the correct supplier account.

2.Balance sheet reconciliations

  • Prepare and analyze the balance sheet reconciliations/schedules of allocated receivable and payable accounts and follow up on long outstanding balances each month.
  • Record the foreign exchange that appears in the accounts receivable/payable accounts and match off the transactions.
  • Follow up any outstanding balance.

3.Audit

  • Prepare and submit audit schedules in a timely manner.
  • Respond to audit queries in a timely manner during both external and internal audit.
  • Act as key contact support for both internal and external audits.

4.Internal controls

  • Implement internal control systems that ensure CIFOR-ICRAF attains its objectives and produce accurate and reliable data for decision making.
  • Ensure compliance to policies and safeguarding of CIFOR-ICRAF assets.

5.Other responsibilities

  • Perform any other tasks assigned by the Assistant Finance Manager-Accounting CIFOR-ICRAF and the supervisor.
  • Identify and take action to mitigate potential risks within the work area.


Education, knowledge and experience

  • University education in accounting with more than three years of relevant experience
  • Experience in financial and accounting services
  • Experience in project or cost accounting
  • Fluent in written and spoken English
  • Experience with financial software applications, including familiarity with UNIT4 Agresso Business World System.
  • Strong computer skills in word processing, database and other relevant office applications.

Terms and conditions

  • This is a locally recruited position. CIFOR-ICRAF offers competitive remuneration in local currency commensurate with skills and experience.
  • The appointment will be for one year, with the possibility of extension contingent upon performance, continued relevance of the position and available resources.
