Background

This post is financed from the Extra Budgetary (ExB) “Building Dialogue Capacity for Conflict Prevention and Resolution” project. The project end date is 31 January 2024. The initial contract duration is until 31 December 2022 with six months’ probation period. The post extension is subject to availability of funds.

Tasks and Responsibilities

Under direct supervision of the National Project Officer and the secondary supervision of the National Programme Manager (Democratization and Good Governance Programme), the incumbent performs the following tasks:

Assists in managing projects in the OSCE Third Dimension

  • assists in the programmatic management of implementing partners, suppliers, special service agreements
  • assists in the preparation of terms of reference, selection of service and goods providers, and in the verification of financial reports 
  • arranges travel, accommodation, official travel authorizations and travel claims for OSCE and non-OSCE officials
  • drafts letters of invitation, participant lists, agendas and other materials; communicates with participants and speakers to confirm their participation and responds to their requests; arranges meeting facilities, audio-visual and other equipment
  • gathers and compiles data for project monitoring and evaluation

Prepares and maintains documentation for the programme

  • translates documents
  • maintains files, documents, contact lists, etc.
  • handles correspondence

Oversees flow of internal procurement approval

  • raises and updates purchase requests (in IRMA)
  • confirms that services or goods were delivered (in IRMA)

Performs other duties as assigned

  • in particular, performs similar duties for other project personnel

Job Requirements

  • Ukrainian citizenship or holding permanent resident status in Ukraine
  • Completed secondary education, supplemented by formal training in administration
  • Minimum four years of relevant working experience in administrative or project work, preferably in an international environment
  • Professional fluency in English and Ukrainian with excellent communication (both oral and written) skills 
  • Demonstrated gender awareness and sensitivity, and an ability to integrate a gender perspective into tasks and activities
  • Ability to work with people of different nationalities, religions and cultural backgrounds, different gender, and diverse political views, while maintaining impartiality and objectivity
  • Computer literacy with practical experience using Microsoft applications

Please note that a first-level university degree in a relevant field may be considered as a substitute for one year of working experience, an advanced university degree – for two years of working experience.

Remuneration Package

Annual salary, subject to social security deductions is EUR 12,352. Social benefits will include participation in the Cigna medical insurance scheme and the OSCE Provident Fund. The Organization contributes an additional amount equivalent to 15% of the employee's salary to this pension-style fund while the employee contributes 7.5%. Other allowances and benefits are similar to those offered under the United Nations Common System. Appointments are normally made at step 1 of the applicable OSCE salary scale.
