OVERVIEW OF THE FUNCTIONS OF THE POST

 

Founded in 1964 by the late Nobel Laureate Abdus Salam and located in Trieste (Italy), the Abdus Salam International Centre for Theoretical Physics (ICTP) seeks to accomplish its mandate by providing scientists from developing countries with the continuing education and skills that they need to enjoy long and productive careers. ICTP has been a major force in stemming the scientific brain drain from the developing world. For more than 50 years, ICTP has been a driving force behind global efforts to advance scientific expertise in the developing world.

 

The Public Information Unit (PIU) is responsible for the production of information, statistics and documents promoting ICTP scientific and educational activities. The unit ensures effective press and public information outreach and coordinates media coverage of major ICTP events and conferences. Under the direct supervision of the Public Information Officer, the incumbent plays an important role in supporting these efforts by processing annual statistics on the institution's visitors and programmes, as well as producing statistical reports related to country-specific interactions with ICTP. The incumbent is responsible for the production of public information products that promote ICTP statistics, including PowerPoint reports, factsheets and web graphics. Essential responsibilities include:

  • Process ICTP annual statistics for institutional reporting and public dissemination. This includes: a) conduct data processing operations from ICTP centralized database and from other organizational units; b) assemble, examine statistical material to ensure accuracy, clarity and validity; c) implement adjustments accordingly, ensuring consistency of data, reporting discrepancies to the supervisor and recommending follow-up actions; e) rectify discrepancies in data series by ensuring cohesion in the application of regulations and procedures for organizational reporting and public dissemination.
  • Create tables and charts by exporting processed data to spreadsheets, and produce statistical material in function of gender, year, region, scientific field, etc. as required by the Institute. Ensuring that the data is completed in time for the ICTP Annual Report; maintain relevant historical archives of processed data and of data obtained from other organizational units; produce statistical tables and infographics to use in ICTP publications and on the web pages.
  • Design and generate a variety of periodic and ad hoc reports, statistical tables, charts, upon request by ICTP management; develop and keep up-to-date country/subregional/regional profiles by researching and assembling country information on ICTP activities and programmes and generate financial reports for fundraising activities; maintain updated statistical data on web pages.
  • Retrieve and archive selected news clippings of ICTP from national and international press; reply directly to routine public queries; prepare information materials for delegates; co-organize public visits of students, working with other ICTP units to ensure that all administrative procedures are followed.
  • Prepare purchase requisitions and budget spreadsheets within the Financial Management (FABS); prepare requests for payment; liaise with Procurement and Invoice Control Offices and vendors; schedule and plan photo shoots by providing detailed instructions to the photographer; monitor delivery of printed material.

EDUCATION

  • Completed secondary, technical and/or vocational school.

 

WORK EXPERIENCE

  • Minimum five (5) years of relevant working experience in statistical processing and reporting, or any related area. 
  • Knowledge of the procedures used in gathering and reporting statistics.
  • Experience in creating Powerpoint presentations and simple infographics.

 

SKILLS/COMPETENCIES

  • Excellent analytical skills.
  • Experience with data analysis and reporting.
  • Ability to work quickly and efficiently under pressure, with minimum supervision, and to sustain limited periods with workload peaks.
  • Knowledge of standard office computer applications (MS Office, SAP, etc.), with proficiency in Power Point and Excel.
  • Ability to prioritize, plan and organize own work in order to respect deadlines.
  • High level of reliability with a responsive and service-minded attitude and behaviour.

 

LANGUAGES

  • Excellent knowledge (spoken and written) of English and Italian.
DESIRABLE QUALIFICATIONS

 

WORK EXPERIENCE

  • Experience in an international environment.

LANGUAGES 

  • Knowledge of another UN official language (Arabic, Chinese, French, Russian, Spanish).
