The Role

  1. Ensuring all staff personal files are complete by checking the files, identifying the missing documents such as reference check, offer letter, COC, personnel detail form, social security form, proof of life, conflict of interest, unpaid leave if the staff has a governmental work, national ID, Marriage contract, birth certificate for their dependents, signed contract/extensions and communicating gaps with HR focal point for filing
  2. Reorganize individual active files in line with filing checklist and placed in alphabetically lettered filing cabinets
  3. Ensure that all folders have name tags that is typed and professional and there is a file that hold all documents within the manila folder
  4. Updating the file audit tracker
  5. Upload scan copies of all active files to the Box system

What we are looking for

  1. Experience with managing filing systems, documenting, archiving, both physical and soft; use of Box is an advantage
  2. Ability to communicate in English & Arabic
  3. Knowledge and usage of basic Microsoft Word and Excel
  4. Commitment to Oxfam’s values and attributes
