Organizational Setting

FAO’s Food and Nutrition Division (ESN) assists Member States to improve diets and raise levels of nutrition, as well as provides support with appropriate policies, strategies and methodologies for improving the efficiency and inclusiveness of their agrifood systems. As a knowledge leader, areas addressed include support on nutrition-sensitive food and agriculture policies and programmes, effective nutrition promotion programmes, food value chains, market linkages, post-harvest handling, agro-processing and dietary assessment. FAO is committed to support Member States in their efforts to improve nutritional outcomes as stated in the Rome Declaration on Nutrition (November 2014) and to mainstream nutrition across all the work of the Organization.

In 2021, FAO Members adopted the FAO Strategic Framework 2022-2031, outlining how the Organization can support action to reach the ambitious goals of the 2030 Agenda for Sustainable Development by enabling a transformation to MORE efficient, inclusive, resilient and sustainable agrifood systems making nutritious and safe food available and affordable to all. In the FAO Strategic Framework, nutrition is also recognized as a technical theme of cross-cutting nature for which the Members requested a Strategy be developed for ensuring available entry points to enable healthy diets and improve nutrition for today and the future are indeed leveraged. In 2021, Members welcomed and endorsed the Vision and Strategy for FAO’s Work in Nutrition.
As a result, FAO continues a re-invigorated process of nutrition mainstreaming requiring coordination, outreach, and collaboration.

Reporting Lines

The incumbent will work under the overall guidance and supervision of the Director, Food and Nutrition Division (ESN), and report directly to a Senior Nutrition Officer. The incumbent will also work in close collaboration with units across FAO headquarters and decentralized offices.

Technical Focus

The emergence of the COVID-19 pandemic resulted in the closure of FAO headquarters offices, and those across the globe, eliminating in-person engagement. This dramatic change in the work environment demonstrated the potential and possibilities of global connection through virtual and hybrid meetings and events. It has connected FAO colleagues and partners virtually to great effect, allowing for rapid dissemination of information and exchange of ideas. As the offices of FAO slowly return to more in-person engagements, the advantages of virtual/hybrid meetings and events can continue while in-person events also increase in frequency. Furthermore, optimal use of electronic information management systems can foster collaboration that meetings and events with colleagues and partners around the globe evoke.

The assignment will focus on supporting ESN in the organization and execution of virtual/hybrid and in-person meetings and in information and knowledge management of files, documents, recordings, videos, etc. for efficient support to mainstreaming nutrition.

Tasks and responsibilities

The tasks and responsibilities will involve:

Providing ESN with full logistical support for virtual/hybrid and in-person meetings and events including:


• Provide organizational support before, during and after in-person meetings
• Participate in preparatory meetings with organizing team,
• Serve as a liaison to other Divisions/Units related to virtual/hybrid conference needs,
• Develop and maintain proficiency in ESN’s primary virtual platforms (currently Zoom and TEAMS).
• Coordinate testing (dry-runs) with virtual event host and participants, and other Divisions/Units involved in the organization of the meeting/event (run one-to one rehearsal with speakers if necessary),
• Provide technical support on presentation tools (MS PowerPoint presentation, Prezi, Canva), advise on presentation style, template and visuals, for both virtual/hybrid and in-person meetings and events.
• Coordinate with FAO Meeting Services and Office of Corporate Communications for webcasts and high level virtual and in-person meetings,
• Coordinate technical execution of events (video playback, launching polls, running slides, etc.),
• Provide support to speakers and attendees including registration, access, and technical trouble shooting,
• Provide post-event diagnostic reports to virtual event host (collect and analyze webinar metrics, edited recording, participants reports, and other relevant reports),
• Provide expert recommendations to event host based on experience of event and diagnostics on improvements for greater reach and impact.

Creating improved methods for team engagement and coordination through use of digital technology for information management, including:


• Operate as an ESN “Helpdesk” to enable divisional colleagues to build their knowledge and skills on use of virtual platforms (mainly Zoom and TEAMS),
• Stay up to date on new advances and processes on an ad-hoc basis and through online demonstrations, and share that knowledge and capacity with ESN colleagues,
• Guide and advise ESN on organizing/archiving shared folders/documents, developing online workspace, and selecting appropriate online tools based on needs and support maintenance of online workspaces.

Performing any other duties when required.


CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING


Minimum Requirements


• University degree in languages, international relations, law, policy or a field related to the work of ESN (Nutrition, Food Security).
• At least 1 years (Category C) of experience.
• Working knowledge (Level C) of English, and limited knowledge of one of the other FAO languages Arabic, Chinese, French, Russian, or Spanish. For PSA only one working language will be required.

Selection Criteria

• Extent and relevance of experience related to organization of virtual/hybrid meetings or events and proficiency with multiple virtual platforms such as Zoom and TEAMs;
• Extent and relevance of experience in use of digital systems/tools for team collaboration such as archiving, sharing and working jointly;
• Extent and relevance of knowledge and experience in policy and strategy development;
• Extent and relevance of work experience with international organizations specialized in food systems and nutrition or closely related fields as mentioned above (desirable);
• Interpersonal and oral communication skills;
• Demonstration of high level of organization and detail orientation;
• Proven communication, writing and reporting skills in English.
• Understanding of the functioning of the FAO, UN agencies and the UN system is considered a strong asset.
