ORGANIZATIONAL CONTEXT

Within partnership project with the government of the Philippines, the incumbent will report to the technical lead, or the designate. 

The position will be based in the greater Manila region, exact location to be determined. The incumbent will be expected extensive national travel for installations, capacity building events and emergency deployments. International travel might be expected. 
 

JOB PURPOSE

To handle receipt/dispatch and verification of IT Equipment/commodities in order to maximise quality of warehouse operations and mitigate losses, and to support the best storage management practices in compliance with WFP warehouse standards and established guidelines. The incumbent will be working as a part of a bigger team but be working independently in his role. 

KEY ACCOUNTABILITIES (not all-inclusive)

•    Effectively receive/dispatch IT equipment and other commodities against official approved documentation (e.g. waybills and/or delivery notes) ensuring accuracy in physical count of equipment/commodities including the quality in compliance with the established standards. 
•    Prepare, verify and sign off warehouse and transport documents, and maintain confidential files and accurate warehouse transaction records to ensure immediate reporting on equipment/commodity movements in line with the corporate requirements. 
•    Conduct daily warehouse closing reconciliation and accurate inventory checks supporting internal control systems in compliance with the warehouse management requirements.
•    Perform inspections, testing of IT Equipment/commodities and prepare reports on the quantity and quality of the IT Equipment/commodities received/dispatched and handled, detect promptly and analyse reasons for stock discrepancies/damages, investigate missing quantity and prepare warehouse loss reports recommending appropriate solutions, to enable informed decision-making. 
•    Implement appropriate measures to safeguard all items/commodities, to ensure quality control using standard preventive measures in line with WFP established procedures and authorization received from the supervisor. 
•    Monitor condition of the warehouse and equipment/commodities and take appropriate actions, to support efficient warehouse space-planning and well-organized equipment/commodity storage following WFP warehouse standards.
•    Be responsible for a warehouse / workshop facility and ensure access control for staff and contractors working at site. 
•    Provide guidance and on-the-job training to warehouse staff to contribute to their development and high performance.
•    Carry out other duties as required.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable. 
Experience: At least 4 or more years of work experience in the related field. 
Language:  Fluency in both oral and written communication in English and local languages.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

• Knowledge and/or interest in Information Technology
• Experience in working with Electronic/IT companies.
• Experience using logistics databases to extract routine reports is an advantage.
• Experience in managing warehouses with food and NFIs. 
• Experience in managing inventories.
