OVERVIEW OF THE FUNCTIONS OF THE POST
Under the overall authority of the Assistant Director-General for Natural Sciences, overall guidance of the Chief of Finance & Administration Unit (SC/AO) and the direct supervision of the Associate HR Officer, the incumbent shall provide clerical and administrative HR services within the AO/HR team to support the implementation of HR activities in the Science Sector ensuring application and compliance with the rules, regulations, policies, and practices. In particular, the incumbent will:
Long Description- Support in the processing of workflow of personnel actions, e.g. contracts for staff members and non-career staff, entitlements and benefits in accordance with Staff Rules and established HR procedures, as required.
- Maintain up-to-date work unit files, including files of a confidential nature (both paper and electronic), and follow-up on teleworking requests and status of staff working time.
- Assist in the filling of posts by providing logistical support in the assessment process, including contacting applicants and following-up on participation.
- Create and update in systems the profile of all staff, including interns and volunteers etc.
- Perform general administrative tasks to provide support in preparing and/or processing administrative/financial requests and documents.
- Provide general office support services; draft a variety of correspondence and other communications and generate a variety of standard statistical and other reports.
- Liaise with the Host country’s administrative services (social security system, URSSAF, Pôle Emploi, etc.) for non-staff when necessary.
Education
- Completed secondary, technical or vocational education.
Work Experience
- Minimum three (3) years of relevant professional experience in an administrative support role.
- Knowledge of HR and administrative practices.
Skills and Competencies
- Good interpersonal and communication skills.
- Strong service orientation and ability to deal efficiently with partners at different levels.
- Ability to analyze and interpret administrative rules.
- Good organizational and coordination skills, ability to take initiative, establish priorities and monitor own work plans.
- Ability to work as part of a team and provide efficient, quality and timely support.
- Ability to manage multiple tasks and adjust priorities.
- Knowledge of the functioning of the host country’s administrative services (social security system, URSSAF, Pole Emploi, etc.)
- Sense of integrity and confidentiality.
- Good knowledge of Microsoft Office (Word, Excel, Outlook,) and database packages.
Languages
- Excellent knowledge of French (written and spoken).
Education
- Specialized training or courses in administration.
Work Experience
- Relevant work experience within an international environment.
Skills and Competencies
- Knowledge of ERP systems (Enterprise Resource Planning).
Languages
- Good knowledge of English.
- Knowledge of another official UNESCO language (Arabic, Chinese, Russian or Spanish).
