Background and scope of portfolio

UNDP India in collaboration with various private sector entities has initiated a project to minimize negative impacts and risks to environment and to human health in India, by enhancing sustainable Plastic Waste Management practices, through a socio-technical model (segregation/collection/recycling) while ensuring compliance with regulations, to improve use of resources and in line with Swachh Bharat Mission (SBM) in India.

Duties and Responsibilities
 
The incumbent would closely work and report to Finance Officer – PWM Project
  • Maintain financial records and monitor systems to record and reconcile expenditures, balances, payments, statements and other data for day-to day transactions and reports;
  • Operate ERP based Financial Accounting System for preparation of vouchers for the project (including the processing of vendor creation and settling of travel claims), creation of requisitions in the system, making budget checks in the system.
  • Assist in tracking of available resources and monitoring of expenditure as per approved project work plan and budget;
  • Organize and coordinate the procurement of services and goods under the project;
  • Support in collating and processing of financial reports into donor wise quarterly/biannualy financial reports.
  • Assist in reviewing IP advance, liquidation and reimbursement procedures vis-a-vis UNDP policy compliance. Assist in reviewing audit reports, and actions on any audit recommendations.
  • Provide logistical and administrative support in conducting different project activities (trainings, workshops, stakeholder consultations, arrangements of tour, etc.). Manage support costs and office expenditure.
  • Perform any other tasks assigned from time to time by the Finance Officer, PWM Project.

Administration & Operations:
  • Documents and  records management: Overall document (hard or electronic) management; registry and retention policy including storing and archiving.
  • ERP travel and expense module: Knowledge of the ERP Travel and Expense Module; ability to provide help desk support to UNDP and other UN agencies.
Audit and Investigation:
  • Finance and Managerial Accounting and Finance key concepts: Key concepts and principles of financial accounting, interpret financial analysis, managerial accounting, etc.
 
Required Skills and Experience
 
Education:
  • Minimum of High School with Commerce stream or related fields would be essential OR Bachelors degree in Commerce and relevant field related to the terms of reference
Experience:
  • Minimum 4 years professional experience (1 year for candidates with Bachelors degree) in finance and administration;
  • Previous work experience with UNDP or any other UN agency is highly desirable.
  • Additional experience in maintaining accounts, handling audits, HR management and the procurement of goods & services is desirable.
  • Ability to work and coordinate with large and complex teams.
  • Excellent communications, organizational and interpersonal skills.
  • High-level of IT/computing skills (minimum: Microsoft Outlook, Word, Excel, Powerpoint).
  • Excellent in ERP based financial management.
  • Good drafting and writing skills in English.
  • Ability to work independently and under minimum supervision
  • Additional experience in maintaining accounts, handling audits, HR management and the procurement of goods & services is desirable

Language requirement :

  • Excellent knowledge of written and spoken English and Hindi is essential.
