Context

This UNV assignment is part of UNOCHA’s efforts to support the humanitarian community’s response in Yemen, which is the largest humanitarian crisis in the world. Based in the UNOCHA office in Sana’a, Yemen.

Task description

Under the guidance and supervision of the Human Resources Officer, and overall direction of the Head of the Administration Unit, the HR Assistant will provide support to the HR services ensuring high quality, accuracy, and consistency of work. The HR Assistant promotes a client-oriented and consistent with rules and regulations approach in the Unit. The UNV Human Resources Assistant will be expected to be able to perform the following: 1. Assists with the recruitment process for all categories of personnel, including staff and non-staff. 2. Assist in preparation of draft job descriptions, vacancy announcements, invigilating tests, reviews applications, and provides a short-list to those offices. 3. Assist in arranging and scheduling examinations and interviews to select candidates by coordinating appointments and perform functions of Secretary in interview panels. 4. Assists in all recruitment-related documentation for proper contract management including mandatory certificates, medical and reference checks and other types of documents in compliance with audit requirements; 5. Assists in the administration of contracts, benefits, and entitlements of National Staff, UNVs, Consultants, Individual Contractors. 6. Acts as leave monitor, maintain, prepare and monitor monthly attendance sheets for national staff, update and monitor leave balance and leave records, and danger pay calculation. 7. Assist in preparing the check in and separation clearance for international and national staff 8. Ensure that staffs’ documentation and personnel files are in order and complete with the necessary documentations. 9. Maintains employee information by entering and updating Personnel files. 10. Maintains employee confidence and protects operations by keeping human resource information confidential. 11. Maintenance of proper filing system for HR records and documents. 12. Assist in following up with UNNDP country office and keep tacking and updates of contract for staff 13. Draft inter-office memoranda, faxes, To Whom It May Concern letters and other routine correspondence. 14. Maintain tracking databases (Expired UNLPs, e-Performances of staff members, mandatory trainings). 15. Assist with day-to-day operations of the HR functions and duties 16. Deal with employee requests regarding human resources issues, rules, and regulations. 17. Performs other duties tasked to the Recruitment Unit, as required.
