NOTE: Please note that this position is funded until the end of the year within the framework of the Extra-Budgetary (ExB) Project: "Dialogue for Reconciliation: Building Capacity, Assessing Opportunities, and Strengthening Co-ordination. Funding is currently available until the end of the year, with the possibility that additional funding is identified allowing the post holder to be extended until June 2025.

 

Background:

The OSCE Mission to Bosnia and Herzegovina continues to play a vital role in strengthening the country’s ability to foster a sustainable and stable security environment, to strengthen Bosnia and Herzegovina’s governance, and to encourage its consolidation as a democratic society. The Mission supports political and education reform and works to promote and protect human rights of all citizens of BiH.

The incumbent is based in the Head Office, and works under the Human Dimension Department’s ExB project entitled: “Dialogue for Reconciliation: Building Capacity, Assessing Opportunities, and Strengthening Co-ordination” (the Project).
Under the supervision of the Dialogue Facilitation and Trust-Building Adviser, the incumbent supports the Project planning and implementation by carrying out programmatic, administrative, and logistical tasks in relation to the Project activities.
He/she works in close co-ordination with the Mission staff, stakeholders, Project/implementing partners, and key beneficiaries on all Project activities.


Tasks and Responsibilities:

The successful candidate will be tasked with the following duties:

Project Assistance

  • Assists the supervisor in all phases of Project implementation, monitoring, reporting and evaluation of the planned activities;
  • Co-ordinates practical participation of Project partners and stakeholders in the Project, supports monitoring and reporting of Project efforts, ensuring timely implementation of planned activities; proposes changes to strategy of Project implementation, if needed;
  • Monitors Project implementation and assists in drafting and compiling reports related to Project activities;
  • Collects data and maintains databases that are relevant for the implementation and monitoring of the Project activities;
  • Attends meetings and conferences in the capacity of a representative of the Project, and writes reports on such events;
  • Supports the supervisor in maintaining relations with key staff of relevant domestic institutions, civil society organizations and international organisations;
  • Works closely with relevant Mission staff to ensure coherence and co-ordination in Mission activities relating to the Project;

Administrative/Secretarial Assistance

  • Assists in planning, co-ordinating and implementing specific activities such as training events, meetings, conferences, and organises travel arrangements envisaged within the framework of the Project;
  • Liaises with other Mission staff, in particular at field office level, to arrange meetings and other Project activities in different geographical areas of BiH;
  • Drafts correspondence in English and local language; prepares summaries of relevant documents, and assists with other various administrative duties;
  • Prepares letters of invitation, participant lists, pre- and post-event evaluations, agendas and other materials, maintains files, documents, contact lists, etc.;
  • Communicates with participants and speakers to confirm their participation, and responds to their requests; arranges meeting facilities and any audio-visual and other equipment;
  • Provides simultaneous and consecutive interpretation in meetings, training events and conferences, and translation of various Project documents, reports and correspondence from English to local languages and vice versa;
  • Provides logistical, financial, procurement and human resources support to the supervisor

Necessary Qualifications:

  • Completed secondary education supplemented by formal studies in administration, political or social sciences;
  • A minimum of four years of relevant work experience in administrative or project work, preferably in an international environment;
  • Project management and/or project support experience;
  • Experience in producing reports and presentations in English and local language;
  • Translation and consecutive interpretation experience;
  • Excellent written and spoken communication skills in English and local language;
  • Computer literate with practical experience in Microsoft applications;
  • Holds a valid driving license and willing to drive official Mission vehicles.

 

Remuneration Package:

Monthly remuneration, subject to social security deductions is 2,298.08 BAM/month. Social benefits will include participation in the Cigna health insurance scheme and the OSCE Provident Fund.

Appointments are normally made at step 1 of the applicable OSCE salary scale. At the discretion of the appointing authority a higher step may be approved up to a maximum of step 3 subject to specific conditions.
