The Danish Refugee Council (DRC), one of the world’s leading NGOs with a focus on responding to displacement, have been registered in Bangladesh since 2013. In 2017, in response to the Rohingya influx, DRC launched an integrated programme of support to the government; its programme now covers site management, shelter and settlements, economic recovery and protection. In 2018, DRC started implementing aid projects in support of the host communities most affected by the influx of refugees.  As a key part of this, DRC opened a main office in Cox’s Bazar, and a support/liaison office in Dhaka.

POSITION PROFILE

Recruitment assistant will have overall responsibility of coordinating on boarding processes for new staff and support in all aspects of Recruitment process and assist to HR Team Leader.

S/he will be accountable for policy compliance and proper documentation for all the recruitment and will maintain a collaborative relationship with all internal and external stakeholders especially with the program team and Support function.

In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.

DUTIES & RESPONSIBILITIES

Facilitate the Recruitment Process

  • Coordinate with hiring manager as per the recruitment guidance to collect RAF for new hiring & track the recruitment process.
  • Ensure that all recruitments have been authorized by the CD or his/her designate along with recruitment planner, signed by both hiring manager and recruiter before the announcement/advertisement is made.
  • Maintain quality and confidentially of the overall recruitment process. Ensure proper reference check and documents verification to avoid fraudulence before offer letters are made to the successful candidates.
  • Assist HR Team Leader in the CV long listing, shortlisting & communicate the same with all the relevant stakeholders as needed.
  • Organize the interview process by communicating with the candidate, arrange different test as per the DRC’s recruitment principals.
  • Under the guidance of HR Team Leader, ensure proper documentation of recruitment and selection files for HR Operations team for necessary compliance.
  • Maintain a strong relationship with Key stake holders and hiring managers and update the recruitment status in all stages and ensure that TAT is in DRC’s Recruitment SOP standard.

Facilitate Staff Onboarding

  • Organize the onboarding for all newly recruited staff in the first day of week as per set guidelines.
  • Ensure on boarding documentation are verified as per the set guidelines and standard for personal filing and ensure the handover to HR Operations team for necessary payroll and audit.

Facilitate Learning and Development

  • Organize the Induction for all newly joined candidate and follow-up with facilitators to complete within time.
  • Assist HR Team Leader to conduct TNA and prepare training calendar and implementing DRC’s all Training Programs.
  • Organize the official events and staff engagement related programs.

Other Administrative Functions

  • Ensure job descriptions are in place for all roles and staff have signed and received JDs.
  • Ensure all staff have a copy of JDs.
  • Support in reviewing and updating job descriptions, structures etc.
  • Assist in developing staff skills and awarding hiring managers on dos and do nots, their right and responsibilities during interview.

Documentation and Record Keeping

  • Update HR Talent Management on regular basis for application rejection and selection and ensue rejection mail sent immediately after on boarding.
  • Share staff movement list and new staff list to update in payroll and ERP.
  • Post job adverts in Bdjobs, DRC website and Relief web. 
  • Ensure the recruitment documentation as per the Recruitment SOP and DRC set standard.

Additional Responsibilities

  • Any other duties as may be assigned by HR Team Leader and HR and Admin Coordinator.

SKILLS AND EXPERIENCES

  • At least one-year relevant experience of Staff Recruitment & Onboarding.
  • INGO work experience would be added advantage. 
  • Experience in conducting recruitment processes in humanitarian set up.
  • Experience working in multi-cultural work settings.

EDUCATIONAL QUALIFICATIONS

  • BBA in Human Resources Management.
  • MBA in Human Resources Management or Post Graduate Diploma in Human Resources Management will be given preference.

LANGUAGES  

  • English (Fluent in writing and speaking).
  • Bengali (Fluent in writing and speaking).
